Position: Administrative Assistant

Hours: 9-5 M-F

Job Details:
Will be assisting the international recruitment team and immigration coordinators. Fast-paced environment. Must be willing to adapt quickly and prioritize request with little to no supervision. Has to be open to asking questions and working as a team player to accomplish task.
GENERAL SUMMARY: Actively participates in outstanding service and accepts responsibility in maintaining relationships that are equally respectful to all. Supports department leadership and staff through performance of administrative functions including telephone and receptionist duties for the office, project support, meeting and event planning, travel arrangements, etc.
KNOWLEDGE AND SKILLS REQUIRED:
Computer skills: MS Office Suite (Outlook, Word, Excel, Publisher, PowerPoint, etc), Internet and other research tools, word-processing and databases
Filing skills
Use of office equipment: fax, copier, printer, scanner, binding machine, blackberry, LCD monitors, multi-line phone system, etc.
Ability to easily grasp complex situations.
Ability to work independently and as a team member, as well as accept direction.
Ability to communicate appropriately with all levels of staff and guests.
Ability to pass FH standard clerical skills test.
PREFERRED KNOWLEDGE AND SKILLS:
Ability to excel in deadline-driven, high-volume environments.
Knowledge and use of FH mainframe and other FH/AHS resources
EDUCATION AND EXPERIENCE REQUIRED:
3 year’s experience in office/secretarial work, OR · Associates degree in secretarial science or business, with 1 year experience in office/secretarial work

PRINCIPAL DUTIES AND JOB RESPONSIBILITIES:

Provides administrative support to the Leadership team and staff.
Work to manage daily issues and project oversight as requested.
9049 Supports TRI faculty.
Other duties as assigned.
General Office Responsibilities ·
Answers incoming calls and routes to appropriate personnel. Records messages and retrieves all voicemails.
Opens and sorts all office mail. Routes outgoing mail.
Acknowledges receipt of packages and special deliveries for office.
Greets visitors and assists them as needed.
Orders meals and reserves location for meetings as needed.
Maintains filing system.
Administrative Support
Assists with and/or manages calendars for multiple leadership and/or staff.
Organizes meetings.
Coordinates travel arrangements: lodging, flight, transportation, event registration, etc.
Prepares expense reports as needed.
Tracks vendor payments and monitor check distribution; maintain details records.
Prepares payment for incoming invoices, subscriptions, supply orders, etc.
Composes drafts for weekly agendas and other documents as requested.
Composes and edits letters, memos, and other correspondence.
Prepares meeting materials
revise and proofread for accuracy prior to distribution.
Creates PowerPoint presentations, spreadsheets as needed for various projects or events.
May assist with contract matters.
May assist with employee-HR related functions. Projects · Participates in project oversight/management as requested.
Job Type: Contract
Pay: $18.88 - $20.00 per hour
