Position Overview
We are seeking a Business Program Director to oversee the operations and financial management of a multi-site after-school program serving families in Matteson, IL. This role requires expertise in financial oversight, family billing, state subsidy processing, facility management, and compliance with Illinois education and childcare policies. The ideal candidate will be well-versed in Procare software, Child Care Assistance Program (CCAP) certificates , and food program administration.
The Business Program Director will work closely with school districts (Matteson SD 162 & 163) , state agencies, and families to ensure a high-quality after-school experience while maintaining efficient operations, compliance, and financial sustainability .
Key Responsibilities 1. Financial Management & Billing
- Oversee and manage family billing, collections, and subsidy processing .
- Maintain accurate CCAP (Child Care Assistance Program) certificates and ensure families submit the necessary documentation.
- Process subsidy applications, verify eligibility, and track payments from the Illinois Department of Human Services (IDHS).
- Generate invoices, track outstanding balances, and follow up on delinquent accounts.
- Ensure compliance with state and federal funding guidelines for after-school programs.
2. Food Program Administration
Manage and oversee the Child and Adult Care Food Program (CACFP) to ensure proper meal distribution and reimbursement.Work with vendors to coordinate food service orders and deliveries.Ensure that all meals meet state and federal nutrition standards .Maintain compliance with record-keeping, reporting, and reimbursement processes for the food program.3. Registration & Enrollment Management
Oversee new student enrollment, registration, and record-keeping .Process subsidy applications and assist families in accessing financial aid.Maintain student records in Procare software , ensuring accuracy and compliance with state licensing requirements.Ensure smooth registration processes across multiple after-school sites.4. School District & Community Relations
Serve as the liaison between the after-school program and Matteson School Districts 162 & 163 .Attend school board meetings and maintain positive relationships with district administrators .Coordinate with schools on program logistics, student referrals, and facility usage.Advocate for funding and resources from state agencies and local organizations .5. Facility & Site Management
Ensure that all after-school program sites are well-maintained, safe, and in compliance with health and safety regulations.Conduct routine site visits to assess program quality, cleanliness, and operational efficiency.Work with vendors and contractors to manage repairs, maintenance, and supply orders .Maintain compliance with Illinois DCFS child care licensing standards .Qualifications & Skills Required :
Bachelor's degree in Business Administration, Education Administration, Childcare Management, or a related field.2 years of experience in childcare business management, after-school programs, or nonprofit administration.Strong financial management skills , including experience with billing, budgeting, and accounts receivable .Extensive knowledge of Procare software for childcare business operations.Experience processing CCAP (Child Care Assistance Program) certificates and subsidy applications .Familiarity with CACFP (Child and Adult Care Food Program) regulations and compliance requirements.Strong organizational and leadership skills with the ability to manage multiple sites and staff.Proficiency in Microsoft Office (Excel, Word) and database management systems.Understanding of Illinois child care licensing and compliance regulations .Strong problem-solving and customer service skills for family interactions and district relations.Preferred :
Master's degree in Business Administration, Education Leadership, or a related field.Bilingual in Spanish or another language spoken by the community .Prior experience working with state-funded programs and grants .Familiarity with payroll, human resources, and vendor contract negotiations .Work Environment & Schedule
Monday-Friday, 830 AM - 5 PM .Office-based with on-site visits to after-school program locations .Some travel is required for school district meetings, training, and conferences .Motivated to be independent and comfortable to have people report to themCompensation & Benefits
