As a Client Account Manager, your responsibility is to ensure you are dispatching new work orders, providing accurate scopes to our vendors, running the job from beginning to end ensuring always in the correct stage, as well as ensuring updates are given to the client frequently and accurately to ensure we are meeting client expectations and KPIs.
Daily Responsibilities:
- Processing new work order requests from start to finish
- Input details into NetSuite, search for vendor, contact the vendor, set up the service with the location, and follow up to ensure the job is complete.
- Assisting with vendor search if a vendor is needed that is not in our internal system
- Providing frequent updates to your external clients and Management when necessary
- Communicate with vendors and clients in a professional manner
- Ensure any foreseeable escalations are brought to Leadership to assist you
- Working with external 3rd party systems such as ServiceChannel, Corrigo, FEXA, FM Pilot, etc.
- Review your dash throughout the day
- Ensure that you are meeting set company goals such as GM, Volume, etc
- Review accounting exceptions and ensure they are brought to resolution
- Confirming the basic cost structure of a work order which includes, but is not limited to (Doors, Locks, Docks)
Managing Clients:
- Monitor emails for communication from the client, and respond if you can retrieve the answer from the work order. If you cannot, then you will need to reach out to our vendor. When replying to the client, you can use verbiage like “We are looking into it, circling back with our vendor, will advise shortly, etc.
- Manage new opportunities received, email acknowledgment to client when applicable, vetting work order to confirm information is correct, assign to a vendor, and providing additional details to the vendor they may need to effectively dispatch and complete the job
- Review quotes from the vendor vet for errors or discrepancies, when issues are found, review with the vendor and/or Management
- Submit quotes to the client within your parameters (Up to $2k)
- Ensure emergency and urgent tickets are handled correctly and timely
Company Expectations:
- Must have industry experience
- Volunteer for after-hours/weekend shifts to help provide support to the team
- Assist team by covering for other CAMs while they are on break or out for the day
- Ensure vendors comply with work order and billing requirements
- Answer inquiries and follow up quickly to resolve issues promptly
- Work collaboratively across teams to ensure work orders are processed correctly and efficiently
- Other duties as assigned by Leadership
