The Hotel Sales Coordinator supports the sales team in achieving revenue goals by managing administrative tasks, coordinating with clients, and ensuring the smooth execution of sales strategies. Key Responsibilities
Sales Support
- Assist the Sales Manager and team in achieving monthly and annual sales targets.
- Respond to inquiries via phone, email, or in person regarding group bookings, events, or special requests.
- Prepare and send proposals, contracts, and other sales-related documents.
- Maintain and update client databases, sales reports, and records in the CRM system.
Client Coordination
- Act as a liaison between the sales team and other hotel departments to ensure smooth execution of bookings and events.
- Assist clients with site tours, rate negotiations, and booking arrangements.
- Address client concerns promptly and professionally to ensure high levels of satisfaction.
Event and Group Management
- Coordinate details of group reservations, including rooming lists, billing, and special requests.
- Communicate with event planners to ensure all logistics are handled.
- Coordinate and communicate with the F&B Team to ensure event catering is executed as desired.
- Collaborate with the operations team to deliver a seamless guest experience for group events.
Marketing and Outreach
- Support marketing efforts by creating promotional materials and assisting with social media campaigns.
- Assist in organizing and attending sales events, trade shows, and networking opportunities.
- Distribute promotional materials and information to clients and prospects.
Administrative Duties
- Maintain accurate and detailed records of sales activities and client communications.
- Process payments, track deposits, and ensure proper documentation.
- Prepare weekly and monthly sales reports for management review.
