As a Safety Administrative Assistant, you’ll be the go-to person behind the scenes – tracking incidents, coordinating appointments, creating presentations, managing data, and serving as a vital liaison between management and employees when injuries occur. You’ll ensure that every injured employee receives timely support and every safety leader has up-to-date, actionable information.

What You’ll Do
Safety & Health Support
Coordinate clinic appointments and 3rd-party assessments for injured employees
Serve as the main liaison between employees, managers, and the Risk Department
Track and follow up on workplace injuries, employee leave timelines, and treatment updates
Maintain detailed, up-to-date injury reports and provide status updates to managers
Assist in workers’ comp-related case management and ensure compliance with reporting standards
Handle sensitive information with confidentiality and professionalism
Administrative Support
Maintain and update complex Excel spreadsheets used for incident tracking
Use formulas, pivot tables, and charts to produce safety and injury statistics
Create visually compelling PowerPoint presentations to report findings and trends to the Safety team
Prepare agendas and meeting materials using MS Word
Schedule and coordinate monthly and quarterly safety meetings, including booking venues, securing catering, and managing logistics with hotels and vendors
Provide administrative support to the Safety Director and managers, ensuring all moving parts are aligned
What You’ll Bring
Experience in workers’ compensation, safety administration, or HR
Expert-level skills in PowerPoint and Excel (pivot tables, formulas, charts)
Strong administrative, organizational, and communication skills
Ability to multitask with accuracy in a fast-paced, high-volume environment
Confident, proactive, and comfortable interfacing with all levels of staff
