Job Summary
Dynamis Counseling, LLC is seeking a compassionate and dedicated Administrative Assistant with a background in mental health to join our private practice. This role is essential in creating a warm, inviting atmosphere for our clients while supporting seamless operational and clinical processes. This is a part-time role that has the potential to evolve into a full-time position over time.
Responsibilities
Administrative Function
- Welcome clients presenting for sessions as they come.
- Respond to new and current client phone, text, and email inquiries in a timely, and effusive manner.
- Independently lead client onboarding; completing pre-assessments, creating client charts, reserving first appointments.
- Provide ongoing coordination and follow up with new clients to ensure completion of required documentation 24 hours prior to session start,
- Coordinate with clinicians, management, executives, etc. to schedule, and attend as requested, various meetings and supervisions, providing ample notice to all attendees. Meet with facilitator prior to all meetings in order to plan and prepare for meetings, assisting as requested.
- Assist, as requested, in operational growth projects including scheduling and helping prepare for interviews, preparing for and attending occasional community events, researching, planning, organizing and attending team building activities.
- Maintain organizing and take accountability of shared office cleaning activities.
Clinical Functions
- Complete pre-assessments of all incoming clients and referrals by using sound clinical insight to gauge appropriateness for private practice level of care, delicately asking clarifying questions to retrieve all relevant information, and responding to openness and vulnerability with compassion.
- Research and provide clients quality referrals within the Dynamis Counseling, LLC network as requested by clinicians following all AzBBHE and agency requirements.
- Assisting cross-functionally as needed to coordinate highest quality care, providing the feel of integrated care for clients.
- Coordinate with Clinical Supervisor as often as needed for clinical support, expertise and guidance, to relay concerns about clients, etc.
Preferred Skills
- Excellent time management, organizational and multi-tasking skills with high attention to detail.
- Knowledge of HIPPA and ability to abide by strict privacy and confidentiality standards.
- Collaborative, self-starting attitude towards challenges and tasks.
- Strong written and verbal communication skills.
- Clinical background in an administrative capacity, supporting therapists, case managing, behavior coaching, or similar.
Additional Notes
Job tasks will be completed from employee personal phone and computer. Stable internet and telephone services are a requirement and will not be reimbursed by the organization.
Job Type: Part-time
Pay: $18.00 - $20.00 per hour
