Job Overview
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our dynamic team. This role is crucial in providing exceptional front desk support and administrative assistance to ensure seamless daily operations. The ideal candidate will be a proactive problem-solver with excellent communication skills, strong attention to detail, and the ability to multitask efficiently in a fast-paced environment.
Key Responsibilities
- Welcome and assist visitors with a warm and professional demeanor.
- Answer and direct phone calls, demonstrating outstanding phone etiquette and customer service skills.
- Manage incoming and outgoing correspondence, including emails, mail, and packages.
- Maintain and organize company lunch orders and refreshment inventory
- Coordinate appointments, meetings, and schedules using Microsoft Outlook and other scheduling tools.
- Perform administrative tasks such as data entry, report building, document preparation, and supply inventory management.
- Utilize Google Suite applications (Docs, Sheets, Calendar) for various administrative and support functions.
- Provide support to team members, including personal assistant duties as needed, to enhance productivity and workflow.
Qualifications & Skills
- Strong organizational skills with the ability to prioritize and manage multiple tasks simultaneously.
- Detail-oriented with a commitment to accuracy in clerical and administrative tasks.
- Excellent verbal and written communication skills, with a professional and friendly approach.
- Proficiency in Microsoft Office Suite (Outlook, Excel, Word)
- Proficiency in Google Suite (Docs, Sheets, Calendar) and other office applications.
- Experience in front desk operations, administrative support, or as a personal assistant is preferred but not required.
- Ability to handle confidential information with discretion and professionalism.
- Exceptional phone etiquette and interpersonal skills for effective communication with clients, vendors, and colleagues.
