Job Summary:
We are looking for an enthusiastic, detail-oriented Office Support to join our team. This position plays a vital role in ensuring the smooth operation of our office through a variety of tasks, including filing, answering phones, customer service, cold calling, reporting, and handling customer accounts. The ideal candidate is proactive, adaptable, and capable of handling a wide range of responsibilities while maintaining a high standard of professionalism.
Key Responsibilities:
- Filing & Document Organization: Maintain and organize both physical and digital filing systems. Ensure that documents are accurately filed, easily accessible, and in compliance with company standards.
- Customer Service (CSR): Serve as the first point of contact for customers, providing exceptional service by answering questions, addressing concerns, and ensuring customer satisfaction. Handle inquiries and issues professionally and efficiently.
- Cold Calling & Outreach: Support business development efforts by conducting cold calls to potential clients, following up on leads, and updating customer contact information in the system. Assist with outreach campaigns and gathering customer feedback.
- Reporting: Assist with the preparation and maintenance of regular reports. This includes tracking customer interactions, updating account statuses, and providing summaries of office activities for management review.
- Customer Account Management: Provide support in managing customer accounts, including updating contact information, processing orders, assisting with billing inquiries, and ensuring all customer details are accurate and up to date.
- Other Duties as Assigned: Perform any additional responsibilities that support the overall smooth functioning of the office and contribute to team goals.
Qualifications:
- High school diploma or equivalent (some college or relevant coursework a plus).
- Prior experience in an office support, customer service, or sales role preferred but not required.
- Strong verbal and written communication skills.
- Ability to manage multiple tasks simultaneously and prioritize effectively.
- Proficient in Microsoft Office (Word, Excel, Outlook) and general office equipment (phones, copiers, etc.).
- Exceptional organizational skills and attention to detail.
- Positive attitude, reliability, and willingness to take on new challenges.
- Ability to work independently and as part of a team.
- Ability to sit, stand, and walk for extended periods.
- Occasional lifting of office supplies (up to 20 lbs).

Pay: $40,000.00 per year
