Summary of responsibilities
This part-time position provides administrative support to the advisor and customer service support to the advisor’s clients in the firm's day-to-day operations.
Principal responsibilities
- Onboard new client accounts, which includes the collection of required documentation and client information within the appropriate turn around time.
- Perform administrative duties that support the advisors in daily business practices, including but not limited to, telephone coverage, coordination of client meetings and calendar maintenance.
- Support the team’s marketing strategy by maintaining marketing materials, including digital and social media platforms, and planning client events.
- Place trades through Commonwealth at advisor’s direction, if licensed.
- Maintain updated client contact records using CRM system.
- Follow up on outstanding client transactions (e.g., transfers).
- Maintain up-to-date, organized client files, including copies of all signed applications and forms, according to Commonwealth’s Compliance requirements.
- Track pending business paperwork; update pending business summary sheet for advisor’s attention when documents are outstanding; track and tally all outstanding work
- Regularly review Commonwealth news items, technology updates, and e-mail communications; report pertinent information back to advisor
