What are the responsibilities and job description for the Administrative Assistant- Attorney's Office position at Eagle County Government?
Hiring Range: $27.46-$32.96. The maximum pay for this position is $38.45.
The Administrative Assistant performs clerical and administrative duties for the County Attorney’s Office, which include a wide variety of duties aimed at providing administrative assistance and support to the Office. The Administrative Assistant works closely with the Executive Legal Assistant on day-to-day duties as well as general office coverage; provides budget support for the Attorney’s Office; manages filing systems; answers the main phone lines and email inquiries, and assists with a wide variety of internal needs. All work is expected to occur in person.
Schedule: In-person, M-F, 8 am to 5 pm

Administration and Fiscal Support:
- Performs day-to-day office communications, and personally answers and routes incoming calls and in-person appointments to attorneys.
- Provides budget support for the Attorney’s Office, including but not limited to: purchase card reconciliation, account receivables and payables, reimbursement of expenses, and managing vendor information.
- Assists Executive Legal Assistant with office tasks, including the day-to-day workflow of incoming items needing attorney review and tracking of planning land use files.
- Assists in maintaining established procedural guidelines and systems for storing and searching for public documents on Laserfiche following approval and execution.
- Assists with organization of filing systems, records retention and records searches.
- Processes registrations and makes travel arrangements for conferences and training for attorneys.
- Procures office supplies and maintains multi-function printer, supplies and service.
- Retrieves, sorts and delivers office mail.
- Provides exemplary internal and external customer service, both in person and via email and phone.
- Observes safety and security procedures, uses equipment and materials safely and reports potentially unsafe conditions.
- Serves the community by demonstrating Eagle County Government mission and core values and following relevant policies and procedures.
- Other duties as assigned.
Qualifications
Education, Experience, Licensure, Certification, or Registration:
- Preferred Education: College coursework or Associates degree in Business Administration, Accounting, or related field.
- Preferred work experience: Previous experience in law office or other office setting, accounts payable, general ledger, or related field or a combination of education and experience which leads to the necessary knowledge skills, and abilities for the position.
Knowledge, Skills and Abilities:
- Thorough knowledge of office management systems and procedures, high degree of comfort with a fast-paced, ever-changing work environment.
- Knowledge of accounting principles. Ability to pay close attention to financial details, posting appropriately and accurately.
- Exemplary organizational and time management skills.
- Ability to exercise discretion and maintain confidential information.
- General knowledge of local government structure and functions.
- Excellent verbal and written communication skills including the ability to communicate in a grammatically correct, clear and concise manner both orally and in writing.
- Ability to multitask and prioritize and strong attention to detail. Comfortable working between several programs and screens simultaneously.
- Ability to work independently with minimal supervision.
- Proficient in the use of computer technology such as Google Suite or Microsoft Office applications.
- Experience with Google Suite is preferred.
- Ability to organize the day’s tasks, prioritize workflow and complete projects on time.
