Eagle Flexible Packaging is seeking a Receptionist (Administrative Support Assistant) who will staff the front desk and provide general support for the offices of a busy flexible packaging manufacturer. This role is often the “face of Eagle”, so it is essential that they are professional and represent the company well in all interactions. PT opportunity with flexible weekday hours.
Primary Duties and Responsibilities:
- Answer Eagle’s main telephone line, screening and directing calls as appropriate.
- Record and relay messages from callers and visitors.
- Greet visitors entering Eagle’s offices, ensuring compliance with visitor policies and procedures by directing all visitors to sign in and complete a non-disclosure agreement.
- Monitor and screen visitor access and maintain security awareness; contact Eagle employees with whom visitors are meeting and direct them to their correct destination while ensuring that visitors are escorted as appropriate.
- Address employee and temporary employee questions as needed, including directing employees to appropriate resources and personally providing answers and support as able.
- Collect timecards from temporary employees and send them to the appropriate agency for processing and payment.
- Prepare correspondence and documents at the direction of business leaders.
- Receive and sort mail and deliveries; personally deliver smaller items and arrange pickup of larger deliveries.
- Maintain visitor sign-in logbook, ensuring that proper records of all visitors and completed non-disclosure agreements are maintained.
- File work order packets and spec folders (documents from Production process).
- Prepare information packets for employees, including folders for new employees and employees newly eligible for benefits.
- Print and distribute Week Ahead messages (weekly communications from CEO) so that all employees can access this information.
- Prepare and dispatch all outgoing parcel UPS and FedEx shipments.
- Make photocopies, fax documents, and perform other clerical functions in support of Eagle leaders and general operations.
- Monitor and maintain office equipment, contacting service providers as necessary.
- Control and maintain inventory and supplies needed in the reception area.
- Tidy and maintain the reception area.
- Ensure conference room is clean and ready for use at all times.
- Make ready office common areas for next business day at the end of shift—ensure sure copy machine is full of paper, clean breakroom, and prepare coffee and Keurig machines.
- Assist the Sales/Marketing and Accounting/Finance teams with documentation management and special projects.
- Ensure that all company food safety and quality assurance procedures are followed at all times. Escalate any issues/concerns to management.
- Other related duties as assigned.
Requirements:
- High school diploma or equivalent (GED).
- Demonstrated strong customer service acumen with ability to positively and professionally represent Eagle with confidence in all interactions.
- Ability to manage a high information load with strong attention to detail.
- Excellent organization and multi-tasking skills, including ability to prioritize and maintain professionalism in a fast-paced environment.
- Dependable, flexible, accountable, and proactive.
- Strong sense of personal integrity with ability to maintain the confidentiality of privileged information.
- Professional proficiency in verbal and written English, including ability to effectively communicate with diverse individuals.
- Excellent work ethic and willingness to learn.
- Proficient in keyboard usage and basic computer software skills, including proficiency in Microsoft Outlook, Word, and Excel as well as ability to learn new programs.
Preferred Qualifications:
- Relevant office support experience.
- Bilingual in English/Spanish.
