Job Description
The Administrative Assistant will be responsible for maintaining office organization, managing client service requests, and
handling new business processing. The candidate should demonstrate a high level of organization and attention to detail, and
must possess strong computer skills. Responsibilities may change over time to meet the needs of the practice and can include other duties assigned by the Financial Advisor.
Key Duties & Responsibilities
Meet client service needs in the role of a support staff to
financial advisor/planner
Greet clients and coordinate client office visits
Update, maintain, and schedule client and other office meetings
Track prospects and new business activities
Prepare advisor for client appointments, including putting
together client paperwork, applications, and marketing materials
Process applications for life insurance, long-term care
insurance, investment products, etc.
Track open cases to completion and follow up as needed
with underwriting department and/or clients
Liaison with service center on all service/account issues
Input client data into financial planning software
Maintain CRM software/database, keeping it current for sorting,
searching, reporting, fee tracking, and new business opportunities
Track client service issues and follow up on a timely basis to
resolve
Skills/qualifications
Associate’s degree at a minimum and/or three to five years
minimum of relevant work experience
Financial services licensing (Life & Health, FINRA Series 6 or
Ability to multi-task. Positive attitude and willingness to
learn and grow
Superior attention to detail, with strong organizational skills
and ability to respond to a quick-paced environment
Excellent PC skills (highly proficient in Microsoft Office,
Outlook) and ability to learn internal systems
Proficiency with financial planning software and understanding
of key financial products are desired, but not required
Ability to formulate creative ideas and to analyze, evaluate,
and follow through on assigned tasks
Excellent listening, oral, and written communication skills,
including presentation and interpersonal skills
Ability to communicate effectively with clients and internal/
external resources
Dedicated commitment to providing superior customer
service with a focus on quality
