Position Overview :
The Operations Coordinator will play a pivotal role in supporting the intake, recruiting, and coordination of care across our national network of locations. As a remote position, the individual will collaborate with internal teams, clinical staff, and external stakeholders to ensure smooth operations and the effective delivery of services. The ideal candidate will be organized, detail-oriented, and capable of managing multiple tasks in a fast-paced environment while maintaining excellent communication across teams.
Key Responsibilities :
Operational Support :
Provide administrative support to various departments, including data entry, scheduling, and document management.
Develop and maintain systems for tracking key performance indicators, staffing needs, and client outcomes.
Assist with the implementation of operational processes and procedures to enhance efficiency and consistency across locations.
Reporting & Communication :
Generate reports for leadership on intake, staffing, and operational performance metrics.
Maintain clear, proactive communication with all internal teams and external stakeholders.
Address any operational challenges in a timely and professional manner, providing solutions when necessary.
Intake Support :
Manage client intake processes, ensuring timely and accurate data entry, follow-ups, and coordination with the clinical team.
Act as a liaison between families, referral sources, and clinical teams to ensure a seamless onboarding experience for new clients.
Track and maintain client information, appointment schedules, and required documentation.
Recruitment & Staffing Coordination :
Assist in the recruitment process for clinical and administrative staff, including posting job openings, reviewing resumes, scheduling interviews, and coordinating the hiring process.
Support onboarding for new employees, ensuring they have the necessary tools and information to succeed in their roles.
Maintain staffing schedules across multiple locations and ensure that staffing levels align with service needs.
Care Coordination :
Collaborate with clinical teams to ensure the effective delivery of ABA services across all locations.
Coordinate care plans and monitor ongoing progress, addressing any operational concerns that may arise.
Support communication and collaboration between different teams (clinical, operations, etc.) to ensure clients receive high-quality, timely services.
Qualifications :
Bachelor’s degree in Business Administration, Healthcare Administration, or related field preferred.
Minimum of 2 years of experience in an operations or coordination role, ideally in a healthcare, behavioral health, or ABA setting.
Knowledge of Applied Behavior Analysis (ABA) or experience working in the autism services field is highly preferred.
Strong organizational skills with the ability to manage multiple tasks and priorities.
Exceptional communication skills, both written and verbal, with a professional demeanor.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and comfortable with cloud-based management systems and tools.
Ability to work independently in a remote setting while maintaining strong team collaboration.
Detail-oriented with a focus on accuracy and consistency.
Ability to adapt to a fast-paced, evolving work environment.
Preferred Skills :
Experience working in a multi-location or national organization.
Familiarity with client management software or systems used in the healthcare industry.
Strong problem-solving and critical-thinking skills.
