Description: This position provides essential support to clients contacting the Early Learning Coalition over the phone. Work involves answering calls, assisting with applications, and addressing client inquiries related to the application process, while also providing eligibility information and referral services to families in accordance with state and federal funding guidelines.
Work is performed under general supervision with limited latitude in the use of initiative. Position exercises some judgment in accordance with well-defined policies, procedures, and techniques.
Coalition staff may be one on one with children in the Coalition office reception area while parents are obtaining services. Additionally, staff are expected to participate in Coalition sponsored events and may be one on one with children at activity booths.

Refers families for childcare assistance, assesses eligibility, and performs administrative tasks including phone calls, data entry, and record maintenance
Communicates with childcare providers for approval, transfers, and terminations of services; provides general administrative and clerical support
Organizes and tabulates surveys as required, serves as a customer service role model, listens to understand family needs, and actively helps solve problems
Provides childcare resource and referral services, educates families about eligible programs, and enters family information into the state-mandated data system
Examines enrollment information for School Readiness (SR) and Voluntary Pre-Kindergarten (VPK) services based on funding, state, and Coalition guidelines; verifies documents and communicates enrollment details to providers
Notifies families before childcare end date, contacts families for missing documentation, and facilitates paperwork distribution for redetermination procedures
Updates relevant screens in the database, processes resource and referral requests, manages childcare services terminations, and completes necessary tracking forms and data submissions as per Coalition guidelines
Supervisory Responsibilities:
None
This position must be available to work flexible schedules, including occasional weekend/evenings as required. A valid Florida drivers license, availability of an automobile during work hours or the ability to report to the assigned work location, and the ability to travel locally, regionally, or statewide for site visits, training and other job-related activities and functions are required.
Education Required:
High school diploma or GED.
Additional Requirements:
One (1) year of experience in case management or related work experience.
Must have or be able to obtain Child Care Resource and Referral (CCR&R) certification within four (4) months of hire.
The position requires effective communication with diverse colleagues, customers, and stakeholders as well as the ability to excel in multitasking and teamwork and possess excellent organizational skills and advanced computer knowledge in a Windows environment.
Preferred Qualifications:
Associate degree
Knowledge of state data systems.
Experience working in eligibility determination for services provided under a county or state contract.
Physical, Environmental, and Sensory Requirements:
Depending on functional area of assignment, tasks involve the ability to exert light physical effort in sedentary to light work, which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (up to 20 pounds). Tasks may involve extended periods of time at a keyboard or workstation and?periods of time standing and/or walking.?
Tasks are regularly performed inside without exposure to adverse environmental conditions (e.g., dirt, cold, rain, fumes).
Some tasks require ability to operate, activate, use, prepare, inspect, detect, and/or position objects. Some tasks require the ability to perceive and discriminate between cues or signals. Some tasks require the ability to communicate effectively.
