JOB SUMMARY
The Operations Manager works in partnership with the School Leader to ensure a high-functioning and well-run school. The Operations Manager is responsible for the day-to-day operations of the school, including staff schedules, proper child/staff ratios, student enrollment, family engagement, and office processes and procedures. The individual is also responsible for establishing and maintaining a welcoming office environment for the children and families we serve.
ESSENTIAL RESPONSIBILITIES
- Lead the on-site implementation of the necessary operational infrastructure to support effective programming in collaboration with school leader.
- Maintain accurate, timely data entry and management of enrollment system to maximize center budgeted enrollment.
- Design and execute a staffing schedule that ensures proper classroom coverage at all times, optimizing consistent adult-child relationships and achievement of learning outcomes.
- Collaborate with Family Engagement team members to complete the student enrollment process with accuracy and promptness, including required paperwork and maintaining accurate information within the customer relationship management database.
- Manage relationships with vendors and service providers, including coordinating building and grounds maintenance to ensure health and safety is maintained in accordance with ELI policies and Indiana child care center licensing laws, rules and policies.
- Serve as the front office liaison to parents and visitors, providing a welcoming environment.
- Coordinate with Finance and Accounting team members in the timely and accurate collection of bills, and execute procedures for proper document tracking, retention, and record disposal and retrieval of student, family and team member information, including documentation for and attendance records of Child Care Development Fund and Title XX clients.
- Administer Child and Adult Care Food Program, ensuring school’s eligibility for maximum reimbursements
- Operate within budget ensuring adequate supply of materials and resources.
- Coordinate with Marketing and Communications team members to maintain brand identity and exemplify brand image.
- Ensure compliance with all regulatory standards and requirements, including, but not limited to, Indiana child care center licensing, Paths to QUALITY™, NAEYC and CACFP.
- Serve as the school building designee during any short-term absences of the School Leader.
- Other duties as assigned to advance the mission of Early Learning Indiana.
