Program Coordinator Qualification and Responsibilities:
Responsible for the management of the administrative and record keeping functions plus assisting the Director with the overall day-to-day operations and general management of the center.
A successful Assistant Director must be able to adequately perform each essential duty and have the following education experience:
a. Meet state licensing requirements for a center Director.
b. Have effective written and verbal communication skills.
c. Possesses strong organization, general office and basic computer skills.
d. Flexible and willing to perform ant tasks necessary to ensure successful operations.
e. Ability to multi-task and prioritize assignments.
f. Work a minimum of 25 hours per week. Able to ascertain when additional hours are needed to prevent or solve problems and maintain compliance.
g. Understands the chain of command and accepts criticism and suggestions as an opportunity to improve.
h. Conducts oneself and represents BSA in a professional manner at all times.
i. Able to solve non-routine problems.
j. Able to function independently without constant supervision.
k. Frequently lifts or moves weight as in lifting
Essential Duties:
17. Ensure that all required corporate paperwork is complete accurately and in a timely manner. These responsibilities may include but not limited to the following:
a. Enrollment changes forms
b. Daily monthly attendance
c. Roster Confirmations
d. Co-pay and private payments collections
e. Writing receipts for payments
f. Addressing adverse actions and working with clients to retain funding.
g. Eligibility- fielding calls from CCIS relative to our client’s needs.
h. New client enrollment packet
i. Payroll deduction forms for employee children
j. Co-pay/ private pay reconciliations
k. Payroll reporting
l. Complete petty cash reimbursement form
m. Maintaining requirements
18. Knowledge of children enrolled and in attendance, their room assignment and funding status
a. Maintain files, records and reports required for compliance with regulatory agencies
19. Affectively streamline office tasks and maintain filing system and follow prescribed routines
20. Keep office area clean and organized
21. Maintain security: only allow those permitted to enter the center.
a. Follow documentation requirements for release of children
22. Provides exceptional customer service to both internal and external customers.
23. Answer the telephone and takes messages.
24. Ensures that the children are supervised at ALL times by staff.
25. Assists director in the recruitment, hiring, training, development and monitoring of the center staff to ensure high quality child care services.
26. Accountable for all actions of center staff.
27. Acts as a liaison between the teachers and parents addressing problems and answering questions regarding all aspects of the center operations.
28. Assists the director in properly marking the center to prospective clients. This includes promoting the faculties, activities, policies and enrollment procedures.
29. Assists the director to ensure that the center is operating efficiently and in compliance with all policies and regulation.
30. Communicates all relevant information to the center director with respect to staff, children and parents.
31. Assists the director in completing annual evaluations for all assigned center staff.
32. All other duties as assigned.
