Job Title: Logistics and Administrative Associate
We are seeking a detail-oriented and proactive Logistics and Administrative Associate to join our dynamic team. In this multifaceted role, you will manage logistics operations, ensuring efficient inventory control, and facilitating the smooth flow of goods within the supply chain. Additionally, you will provide essential back-office support, including processing paychecks, generating financial reports, and assisting the owner with various administrative tasks.
The ideal candidate will possess a strong understanding of logistics processes, as well as proficiency in inventory management and freight operations systems. They should also be comfortable handling administrative duties, including financial reporting and personal assistance to the owner. Strong organizational and multitasking skills are essential for success in this role.
Responsibilities:
- Manage and oversee logistics operations, including order picking, packing, shipping, and inventory control.
- Use CMMS (Computerized Maintenance Management Systems) to track inventory levels, ensure accurate records, and maintain stock efficiency.
- Coordinate with third-party logistics providers (3PL) to ensure timely and accurate delivery of goods.
- Process payroll and assist in preparing financial reports as part of back-office duties.
- Implement process improvement strategies to enhance operational efficiency in both logistics and administrative functions.
- Conduct regular inventory audits to ensure accuracy and resolve any discrepancies.
- Assist in the preparation of financial reports, including cost analysis and budget tracking.
- Operate forklifts safely and efficiently to move materials within the warehouse.
- Support the owner with various personal assistant tasks and administrative duties.
- Maintain a clean, organized, and safe work environment while adhering to safety protocols.
- Collaborate with procurement teams to manage stock levels, reorder supplies, and assist with financial tracking.
Qualifications:
- Proven experience in logistics, supply chain management, or administrative support.
- Strong proficiency in inventory control systems, logistics software, and CMMS.
- Experience with freight operations, shipping documentation, and understanding of supply chain processes.
- Ability to operate forklifts; certification is preferred but not mandatory.
- Excellent organizational skills with high attention to detail and accuracy, both in logistics and financial/reporting tasks.
- Ability to manage multiple tasks and prioritize in a fast-paced, dynamic environment.
- Strong problem-solving skills with a focus on process improvement and operational efficiency.
- Excellent communication skills, both verbal and written, to collaborate effectively with team members and external partners.
- Experience in administrative support, payroll, and financial reporting is a plus.
