Responsibilities:
The Shelter Supervisor is responsible for managing the daily activities at the animal shelter to ensure the safety and well-being of all animals. Duties include supervising cleaners and volunteers, and ensuring that shelter animals receive proper care. In addition, the Supervisor will be assigned to manage specific additional programs at the shelter.
- Responsible for the health and well-being of all shelter animals
- Proper and safe sanitary conditions
- Appropriate and timely feeding of all animals
- Ensure prompt, emergency medical treatment when indicated
- Recommend medical/behavioral treatments to Director of Operations
- Performs or appropriately delegates, all duties of absent shelter staff. Supervises, disciplines and educates shelter staff, in collaboration with the Director of Operations. Ensures the staff and volunteers are working effectively within the written scope of responsibilities.
- Notify the Director of Operations of supplies and medications as needed.
- Upkeep and improvement of shelter facility
- Maintain shelter cleanliness and compliance with state requirements
- Upkeep of shelter exterior (appearance/organization)
- Organize donations and supplies
- Designate extra items for offsite storage
- Eliminate clutter and broken or non-functional equipment
- Clean areas that are not regularly addressed, like high areas, floors under desks, the laundry area, and storage near the water heater
- Veterinary care
- Add to log for veterinary treatment when needed
- Interact with the veterinarian for treatment recommendations and ensure that meds are given
- Animals and adoption
- Assist in animal behavior assessments and behavior treatment procedures and plans
- Assist in determining the adoptability of animals based on behavior and medical assessments
- Assist in approving adopters / animal match, using discretion and EASEL policy.
- Oversee adoption process; from application submission to informing of approval or denial, scheduling pick up, collecting fees, and follow up with required medical care.
- Responsible for animal intake process
- Oversee intake from municipal Animal Control Officer
- In collaboration with the Director of Operations review and approve owner surrender requests using EASEL criteria and individual discretion
- Oversee surrenders with owners to minimize pain for the owner, minimize stress on the animal and ensure that the caretaking staff is ready to house the animal
- Responsible for photographs and create cage cards for intakes
- Ensure timely and accurate completion of all intake record keeping, reconciling discrepancies
- Trap and Release Program (TNR) Management
- Responsible for proper trap release, return and education to the community by staff members
- Responsible for the collection of fees, used traps and proper documentation
- Coordinate/schedule TNR projects with the public and EASEL trappers
- Manage trap loans, paperwork, and payments
- Schedule cats for spay/neuter
- Customer service
- Provide quality customer service to all clients
- Aid and/or refer to appropriate staff members in a courteous and prompt manner
- Educate and Supervise all volunteer and staff interaction with clients to provide the best client experience
- Report to the Director any repairs or issues with shelter property, buildings, equipment, including:
- Buildings, trailers and their systems – electric, plumbing, heating & cooling.
- Vehicle(s)
- Office equipment
- Fire alarm companies, monitoring, maintenance
- Exterminators
- General management duties
- Oversees cleanliness and neatness of shelter
- Ensure that all information is updated in Shelter Manager
- Responsible for incoming calls and response
- Maintain relationships with other shelters, rescue groups, veterinarians, local businesses and sponsors
- Responsible for all fee collections and proper documentation
- Provide training and development opportunities for team members to enhance their skills and performance.
- Communicate effectively with staff to ensure clarity of tasks, expectations, and company policies.
- Handle customer inquiries and concerns with professionalism, ensuring a positive experience for all patrons.
- Surrender intake coordination
- Reach out to surrender inquiries
- Provide options, solicit information, schedule evaluations, and arrange to bring pets in
- Collect payments and request medical records when possible
- Enter pets and owners into Shelter Manager
Must be able to lift, move, or carry animals or objects weighing up to 40 lbs., move up to 120 lbs., and following OSHA Guidelines while using strong chemicals for disinfecting kennels
Requirements
- Proven leadership experience in a supervisory role.
- Animal handling, cage cleaning
