East Bay Asian Local Development Corporation (EBALDC) is seeking a regular full-time Asset Management Administrative Assistant in Oakland, CA.

Summary:
The Asset Management Administrative Assistant is a vital member of the Asset Management team which is dedicated to supporting the financial health, operational excellence, and long-term sustainability of EBALDC’s portfolio. This role involves conducting in-depth analyses of financial and operational performance, ensuring compliance with regulatory requirements, and delivering strategic operational support.  By streamlining processes and addressing essential tasks, this position provides essential support for managers to concentrate on high-level strategic objectives and initiatives.

Key Responsibilities:

Data Analysis and Reporting

  • Collect, analyze, and interpret property financial data, including budgets, operating expenses, and cash flow
  • Prepare regular and ad hoc performance reports for internal and external stakeholders
  • Monitor key performance indicators (KPIs) to assess property performance against goals
  • Update asset management dashboard, watchlist and other reports; and
  • Conduct variance analyses to identify trends and provide actionable recommendations.

Operational Support & Regulatory Compliance

  • Assist in coordinating and ensuring the timely and accurate submission of filings for Welfare Tax Exemptions, Secretary of State registrations, Business Tax Licenses, and Real Estate tax payments
  • Coordinate with property management teams to gather operational and financial updates
  • Support annual property operating and capital budgeting processes
  • Support the processes for reserve reimbursement and other capital project funding
  • Track key deadlines and provide support for preparation of data and reporting packages for regulatory reporting, lender requirements, and funding applications
  • Assist with the monitoring and updating of compliance requirements across the property portfolio; and
  • Assist with special projects and provide assistance to the asset management team, as needed

Administrative Support

  • Maintain organized records for asset management files, agreements, and compliance documents
  • Ensure timely processing of invoices
  • Coordinate team meetings, preparing and distributing meeting agendas, minutes, and other relevant materials; and
  • Organizing team events or training sessions.
Salary Range:
$65,000-$75,000 annually
