Organizational Unit Overview

The School of Dental Medicine is composed of ten administrative offices and four academic departments. The Administrative units include the Offices of the Dean, Vice Dean, Associate Dean for Student Affairs, Associate Dean for Research, Associate Dean for Clinical Affairs, Associate Dean for Extramural Clinical Practices, Associate Dean for Faculty Affairs, Assistant Dean for Dental Education and Informatics, Assistant Dean for Academic Success and the Assistant Dean for Business Operations and Financial Affairs. The four academic departments are Surgical Sciences, Pediatric Dentistry, Orthodontics and Dentofacial Orthopedics, General Dentistry and Foundational Sciences.

Included in the mission of the School of Dental Medicine is to educate dental care providers (both dental students and dental residents) and to address the oral health care needs of the underserved population of North Carolina. The School of Dental Medicine meets these missions by operating dental clinics that provide both educational experiences for the dental students and residents and provides dental care to the residents of North Carolina. These clinics occur in both Ross Hall in Greenville, North Carolina, as well as Community Service-Learning Centers located throughout North Carolina. To operate these clinics, appropriate dental auxiliaries and clinical staff are needed.

Job Duties

This position is within the Office of Research at the ECU School of Dental Medicine. This position reports to the Associate Dean for Research, and will have responsibilities in the areas of research funding management and budgeting and related functions within the School of Dental Medicine.

The Grants Manager is the liaison between faculty members and departments engaged in funded research projects and a range of central university offices responsible for pre- and post-award grant administration including the Office of Sponsored Programs, the Office of Grants and Contracts, the Office of Clinical Trials, regulatory compliance, budgetary and fiscal management. This position provides pre- and post-award grant support for faculty and students engaged in a broad range of research and workforce training projects. The funding portfolio includes projects funded by extramural grants, faculty startup funds, institutional state funds and indirect cost accounts. The support provided is partly programmatic : strategic planning for growth in research programs and research culture, development of interdisciplinary scientific and clinical research projects and graduate research training program development.

A large portion of the support provided is administrative and transactional in nature : fiscal, budgetary and account management, regulatory compliance and reporting, grant preparation and internal review, quality control, transactional troubleshooting, collaboration with central university grant administration offices, central budget offices and external funding agencies.

This position requires knowledge of the policies, laws, and regulations of the state of North Carolina; ECU and departmental operating procedures; and the ECU Banner financial records system. Employee should have considerable knowledge of accounting and budgeting including the ability to prepare and analyze fiscal reports. In addition, this position will assist with the ongoing development of policies and procedures to insure the school remains in compliance with all state and university rules and regulations.

Faculty Liaison - - 5%

Pre Grant Award and Post Grant Award Support - - 60%

Grant Administration - - 30%

A large portion of the support provided is administrative and transactional in nature : fiscal, budgetary and account management, regulatory compliance and reporting, grant preparation and internal review, quality control, transactional troubleshooting, collaboration with central university grant administration offices, central budget offices and external funding agencies.

Grant Policy and Procedure Development - - 5%

In addition, this position will assist with the ongoing development of policies and procedures to ensure the school remains in compliance with all state and university rules and regulations.

Minimum Education / Experience

Bachelor's degree in business administration, public administration, or related business area and two years of administrative management or business management experience; or equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

License or Certification Required by Statute or Regulation

Preferred Experience, Skills, Training / Education

Master's degree in Business Administration, Public Administration, or related area from an appropriately accredited institution.

Knowledge of programs and procedures of granting agencies, including federal agencies (e.g., NIH, NSF, DOD) as well as corporate and private foundations and sponsors, and knowledge of relevant OMB regulations. Knowledge of accounting principles, fund accounting, financial reporting, internal control systems, and budgeting and financial analysis.

Experience in online accounting / financial management / administrative systems.

Expertise in using computing tools such as spreadsheets, databases, report writing and word processing tools.

Demonstrated ability to work independently and to follow through and complete projects with minimal supervision.

Demonstrated management, communication, facilitation, and customer service skills.

Demonstrated oral and written communication, analytical and problem-solving skills.

Demonstrated ability to maintain a high degree of privacy and confidentiality.

Demonstrated ability to work collaboratively and constructively with faculty, staff, administration, and sponsors in a fast paced, service- focused environment.

Certified Research Administrator (CRA) certification.

Familiarity with the ECU research environment, ECU Office of Sponsored Programs, ECU grants procedures (e.g., RAMSeS), and ECU rules, regulations, and policies.

Familiarity with interdisciplinary, multi-site, and training grants.

Familiarity with the university's purchasing, banner finance and human resources systems is highly desirable.
