The East Fishkill Public Library is seeking a full-time Facilities Manager to join our team.
We are looking for a responsible, experienced, detail-orientated individual who can join our staff in maintaining our building so we can provide an outstanding service level to the patrons of the library. Interpersonal and communication skills are important for this position as are attention to detail, the ability to multitask, and the ability to be able to pivot quickly as needs arise in the building. Comfort with computers is desirable. This position is part of the Administration team and reports directly to the Library Director. The Facilities Manager oversees the part-time maintenance helper and any cleaning staff. Our ideal candidate has general knowledge of cleaning, plumbing, electrical, HVAC systems, and general repair techniques as well as knowledge and skills in the use of hand and power tools and other materials required to perform repair and maintenance tasks.
Job Duties
· Leads and participates in building cleaning and maintenance activities including but not limited to dusting, vacuuming, bathroom sanitation, moving/assembling furniture or shelving, shifting library materials, cleaning windows, removing garbage, lightbulb replacement, organizing the shed and storage areas, mulch bed maintenance, painting, HVAC filter replacement, etc.
· Schedules and assigns cleaning and maintenance work to subordinate staff
· Makes regular inspections of the building and grounds to maintain proper cleaning and maintenance procedures and makes recommendations for improvements or new equipment
· Directly supervises the following staff: cleaners, maintenance helper (supervision includes managing time off requests, scheduling, training, discipline, etc.)
· Schedules, coordinates, inspects, and exercises control over maintenance work performed by outside contractors
· Checks to ensure the building is heated/cooled, cleaned, locked/unlocked, and in readiness for all activities as outlined by the Director
· Completes daily room set ups for library programs and special events
· Keeps records and makes monthly report to Director on all building activities
· Assists in ordering custodial supplies
· Obtains quotes for materials, contractors, and assists in completing the bidding process for competitive projects
· Trains new employees and assists with orientation
· Participates in the creation, updating, and projection of the library’s Facility Plan and Building Inventory List
· This position is a non-voting member of the Building Committee of the Board of Trustees
· Participates in continuing education as assigned
· Does related work as required
· Physical condition commensurate with the demands of the position
Position hours:
Monday to Friday 8:00am to 4:00pm
Flexibility is crucial in order to oversee emergency repairs, special projects, or for Building Committee meetings.
Library Building Specifications:
The East Fishkill Public Library is a single-story building of about 12,000 square feet, constructed in the 1930’s with an addition added in 2000. The building contains two programming rooms, three public restrooms, and a windowed rotunda area. The staff area includes a staff restroom and a small kitchen. Our grounds include a standalone storage shed.
Compensation and Benefits
The salary range for this position is $57,000 - $60,000 annually, paid biweekly. Benefits include medical, dental, and vision insurance with the library paying 80% of premium, health and dependent care flexible spending accounts, TIAA 403(b) retirement with the library matching up to 8%, employee assistance program, paid time off (vacation, sick, personal), holiday pay, bereavement pay, and pay for unscheduled closings.
Civil Service Minimum Qualifications
“Two (2) years pf experience which primarily involved institutional or building cleaning and minor maintenance activities, one (1) year of which shall have involved supervisory responsibility.”
Preferred Qualifications
Graduation from high school or possession of a high school equivalency diploma is highly preferred. Experience in an office setting and/or a public building is preferred.
Note: This is a provisional civil service position. The successful candidate must meet all civil service minimum requirements and will be required to take the “Head Custodian” civil service exam. The candidate must obtain a passing score and be reachable on the eligible list for permanent appointment.
