As an Administrative Assistant at East Harbor, you will play a vital role in supporting our finance team and ensuring smooth day-to-day operations. You’ll handle administrative tasks, coordinate office activities, and contribute to the overall efficiency of our firm.

Responsibilities:

  • Office Management:
  • Coordinate meetings, conference calls, and event arrangements for team members.
  • Administrative Support:
  • Assist with document preparation, including reports, presentations, and correspondence.
  • Maintain accurate records and organize electronic and physical files.
  • Handle incoming and outgoing mail and packages when necessary.
  • Financial Assistance:
  • Collaborate with the finance team to process invoices, reports, and reimbursements promptly.
  • Assist in maintaining financial records and tracking expenses.
  • Prepare basic financial reports as needed.
  • Communication and Coordination:
  • Liaise with internal and external stakeholders, including clients, vendors, and other departments.
  • Answer phone calls, respond to emails, and direct inquiries appropriately.
  • Schedule appointments and manage calendars.
  • Special Projects:
  • Support ad-hoc projects related to finance, compliance, or business development.
  • Conduct research and compile data for various initiatives.

Qualifications:

  • Bachelor’s degree preferred.
  • Proven experience as an administrative assistant or in a similar role.
  • Strong organizational skills and attention to detail.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent communication and interpersonal abilities.
