Job Summary
We are seeking a detail-oriented and organized Secretary to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our township office by providing administrative support, managing communications, and maintaining efficient office procedures. This position requires excellent organizational skills, attention to detail, and a commitment to delivering exceptional public service.
Duties
- Record the proceedings of the Township Board of Supervisors, recording minutes, ordinances, and resolutions in a minute book.
- Perform administrative tasks such as scheduling appointments, maintaining calendars, and coordinating meetings.
- Review all phone, written, and electronic communication to the Township and route inquiries to appropriate officals within the Township.
- Coodinate Township meetings, including Supervisior meetings, Zoning Hearing Board, Planning Commission, and any other meetings to be held at the Township.
- Maintain and update Township website with current information of upcoming meetings, agendas, minutes, etc.
- Maintain the Township's FaceBook page and post regular updates.
- Retrive Township mail from the post office and route the mail to appropraite Township officials. Mail outgoing Township correspondence. Purchase stamps, etc.
- Maintain organized filing systems for both digital and physical documents.
- Provide support to other team members as needed, fostering a collaborative work environment.
- Maintain inventory of Township office supplies, place orders for Township supplies, signs, rock salt, etc. Utilize and maintain accurate logs for Township purchase orders.
- Attend monthly Township meetings.
- Uphold confidentiality and professionalism in all interactions with other Township staff and the general public.
Skills
- Strong phone etiquette and customer service skills to effectively communicate with clients and colleagues. Kindness, professionalism, and courtesy are most important.
- Exceptional organizational skills with the ability to manage multiple tasks simultaneously.
- Experience in administrative roles, particularly in a front desk or receptionist capacity is a plus.
- Ability to utilze Windows computer system including experince utilizing Microsoft applications, including Word and Outlook.
- Prior experience working in a Township, Borough, County, or City is a plus.
- Ability to type efficiently while maintaining accuracy in documentation.
- A positive and proactive attitude towards problem-solving and improving office processes.

Job Type: Part-time
Pay: $19.00 - $25.00 per hour
