Position Overview:
We are seeking a highly organized and detail-oriented Surgery Coordinator to join our growing team at our private practice podiatry clinic. This key position will be responsible for managing and coordinating all aspects of surgery scheduling for our physicians at various ambulatory surgery centers (ASCs) and hospitals. The ideal candidate will have strong communication and organizational skills, a deep understanding of the healthcare scheduling process, and the ability to work collaboratively with a multidisciplinary team.
Key Responsibilities:
- Surgery Scheduling: Coordinate and schedule surgical procedures for podiatric physicians at multiple ambulatory surgery centers and hospitals, ensuring optimal scheduling and adherence to each facility’s protocols.
- Patient Communication: Serve as the main point of contact for patients regarding surgery dates, preparation instructions, and any other pre-operative or post-operative inquiries.
- Physician Coordination: Work closely with the physicians to ensure that their surgery schedules are efficiently managed and that they are informed of any changes or updates to surgery schedules.
- Pre-Operative Requirements: Ensure that all necessary documentation (e.g., pre-operative testing, insurance verification, consent forms) is completed and submitted in a timely manner.
- Insurance Verification: Confirm patient insurance information and work with the billing department to ensure that all necessary authorizations are obtained prior to surgery.
- Facility Communication: Maintain effective communication with ambulatory surgery centers and hospital staff to ensure smooth logistics and any required updates to surgical schedules.
- Surgical Supplies & Equipment: Ensure that all necessary surgical supplies and equipment are available for scheduled procedures.
- Post-Operative Follow-up: Ensure that patients are scheduled for any necessary post-operative follow-ups, including wound care and additional visits as needed.
- Compliance & Documentation: Maintain accurate records of all surgery schedules, patient information, and communications in compliance with HIPAA and other healthcare regulations.
- Problem Resolution: Address any scheduling conflicts, cancellations, or issues promptly, ensuring minimal disruption to the surgical calendar.
Qualifications:
- Education: High school diploma or equivalent required; associate’s degree or higher in healthcare administration or a related field preferred.
- Experience: Minimum of 2-3 years of experience in surgical scheduling or healthcare administration, preferably within a podiatry or orthopedic setting.
- Skills:
- Strong organizational and time-management abilities.
- Excellent verbal and written communication skills.
- Detail-oriented and able to handle multiple tasks simultaneously.
- Ability to work in a fast-paced environment and adapt to changing priorities.
- Proficient in using electronic health records (EHR) systems and scheduling software.
- Knowledge of healthcare regulations, insurance processes, and medical terminology is a plus.
Preferred Skills:
- Experience with surgical coordination in multiple locations (ASCs and hospitals).
