Position Summary
The College of Education Dean is seeking a Business/Administrative Associate to coordinate daily activities, serve as a liaison between academic and administrative offices, manage multiple budgets, and oversee personnel for the Dean’s office, Instructional Technology Center, Educational Student Services, and grants. This role also involves coordinating transactions with various university offices, supporting departmental administrative staff, assisting in the Educational Student Services office, and training new administrative staff.
Essential Duties and Responsibilities
- Monitor and report on funding for the College of Education’s academic and administrative units, develop budgets for temporary positions, prepare detailed Excel reports using Argos/Banner, make budget recommendations, assist with financial tasks, and ensure accurate petty cash and bookkeeping management.
- Create, review, and process payment requests, requisitions, p-card purchases, travel reimbursements, honorariums, stipends, and supplemental personal services payments across multiple college accounts. Purchase office and educational supplies, equipment, and arrange travel as needed.
- Approve payroll for the Dean’s staff and process leave requests for college administrative staff.
- Maintain faculty and staff records, process employment paperwork, generate requested reports for the Dean, track and calculate faculty overload, and ensure civil service evaluations are completed and submitted to HR.
- Manage the Dean’s calendar, schedule appointments, and track deadlines, ensuring departments are notified in advance. Prepare and send Dean’s List letters and congratulatory notes. Conduct annual equipment inventory, track ethics training completion, and oversee records retention in the Dean’s suite.
- Review and enter summer school assignments, verify accuracy, distribute contracts, update faculty summer pay tables, and coordinate with the School of Extended Learning and VP of Academic Affairs as needed.
- Update college-level committee listings and represent the College of Education on committees as requested by the Dean, including search and COE Research Committees.
- Organize special events, including invitations, setup, teardown, food and supply orders, awards, and payment for student employees. Assist other assistants in ensuring smooth event execution until it's your turn to organize.
- Plan, coordinate, set up, and tear down the annual College of Education Alumni Awards and Fundraiser events.
Minimum Acceptable Qualifications
1. Bachelor's degree in business administration, management, or a field related to the position.
2. Two (2) years of professional business, financial, and/or managerial work experience. (NOTE: A Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year (12 months) of work experience.)
3. Based on position requirements, additional education, training, and/or work experience in an area of specialization inherent to the position may be required.
Salary: $4,210.64 – 4,600/monthly; final pay rate offered will be commensurate with experience.
