Position Summary:
Eastern Illinois University is seeking candidates for an Office Manager within the Department of TRIO. This is a full-time, 12-month civil service professional position. This position will be responsible for maintaining the unit calendars, responding to inquiries, composing correspondence, and other office managerial tasks assigned by the director. The position reports to the Director of TRIO Student Support Services. The grant funded program is under the division of the Student Success Center. The position is contingent upon funding.

Essential Duties and Responsibilities:

  • Completes assignments that require research of data sources: (1) to provide student eligibility criteria data pertinent to acceptance of new TRIO participants (so that required eligibility ratios will be achieved and maintained); (2) to compile documentation supportive of grant objective completion, and (3) other ongoing report requests.
  • Analyzes workflow of unit’s processes and provides guidelines for implementing necessary actions for accomplishment.
  • Maintains an awareness of the budget.
  • Serves as a resource person between the TRIO program staff and staff of external units.
  • Serve as liaison between the unit, internal staff, external units, and outside agencies for the facilitation of the TRIO Scholarship Selection process, development of student performance tracking system, various on-campus training workshops, etc.
  • Generate statistical reports and assist the Director with the Annual Performance Report (APR).
  • Participate in in-service training programs and staff meetings as scheduled.
  • Train and supervise student workers/student assistants.
  • Assist the Director in overseeing the maintenance of the TRIO computer lab and staff.
  • Reserve transportation and complete appropriate travel forms for graduate school
  • tours, cultural events, and staff and student professional development and conferences.
  • Reserve space for program events on campus.
  • Other duties upon request to achieve program goals and objectives.
  • Performs other related duties as assigned.

Minimum Qualifications:

  • High School Diploma or equivalent
  • Twenty-four (24) months of clerical/office support work experience comparable to that performed at the Office Support Specialist level.

Knowledge, Skills and Abilities:

  • Knowledge of administrative and administrative procedures and systems such as word processing, managing files and records, and other office procedures and terminology.
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
  • Knowledge of computers and computer systems (including hardware and software) to enter data, or process information.
  • Skill in material resources management through obtaining and seeing to the appropriate use of equipment, facilities, and materials needed to do certain work.
  • Skill in communicating effectively, both verbally and in writing as appropriate for the needs of the audience.
  • Skill in decision making by considering the relative costs and benefits of potential actions and choosing the most appropriate one.
  • Ability to understand written sentences and paragraphs in work related documents.
  • Ability to arrange things or actions in a certain order or pattern according to a specific rule or set of rules (e.g., patterns of numbers, letters, words, pictures, mathematical operations).
  • Ability to apply general rules to specific problems to produce answers that make sense.
  • Ability to combine pieces of information to form general rules or conclusions (includes finding a relationship among seemingly unrelated events).
  • Ability to choose the right mathematical methods or formulas to solve a problem.
  • Ability to provide guidance and direction to subordinates, including setting performance standards and monitoring performance.

Work Hours

The core work hours of this position are Monday through Friday 8:00 a.m.- 4:30 p.m.


Salary/Pay Rate Range

17.42 per hour
