Position Summary

The Department of Teaching, Learning, and Foundations is seeking to fill the position of Office Manager. This role will support a large academic department and serve as an assistant to the Department Chair. The Office Manager will provide essential functions and services with minimal delay, ensuring optimum efficiency and accuracy. Key responsibilities include following procedures, maintaining commitments, organizing, supervising, coordinating, and managing office operations for the Department Chair and faculty. The position requires the exercise of independent judgment as necessary.

Essential Duties and Responsibilities

  • Oversee and manage four departmental budget accounts, as well as additional faculty grants as awarded, ensuring proper allocation and tracking of funds.
  • Provide direct administrative support to the Department Chair, including scheduling, correspondence, and coordinating departmental activities.
  • Prepare and maintain accurate personnel and payroll records for faculty and advisors.
  • Develop and manage the semester course schedule, coordinating with faculty to ensure timely and accurate planning.
  • Research and report on waitlist and enrollment eligibility and facilitate department approval for student teaching placements.
  • Monitor and address the physical needs and maintenance of departmental facilities, ensuring a functional and organized workspace.
  • Manage practicum documentation, track data for tuition waivers and CPDH, and handle evaluations, travel vouchers, and form supplies efficiently.
  • Maintain undergraduate and graduate student files, ensuring all records are up to date and compliant with departmental policies.
  • Serve as the primary receptionist, answering inquiries and directing visitors appropriately.
  • Act as the department’s records manager, ensuring the secure and organized handling of all documents and files.
  • Supervise and provide guidance to student workers, ensuring tasks are completed efficiently and effectively.
  • Continuously update and improve skills relevant to the role, staying current with departmental and institutional needs.
  • Research and maintain an up-to-date inventory of department-approved textbooks and resources.
  • Regularly update and maintain the department's website, ensuring it accurately reflects current information and resources.

Minimum Acceptable Qualifications

  • High school diploma or equivalent.
  • Two (2) years (24 months) of work experience performing office/clerical activities, including the use of computer systems.

Salary: $17.42/hr.
