Position Summary

The Graduate School is seeking a Program Coordinator I to certify graduate degrees and certificates and provide administrative support to the Dean. Primary responsibilities include certifying graduate degrees and certificates, managing compliance with requirements of graduate programs, overseeing financial accounts and budgets for the Graduate School and tuition waivers, managing the Graduate Assistantship program in collaboration with one direct report, and other duties detailed in Essential Duties and Responsibilities.

Essential Duties and Responsibilities

  • Certify graduate students for master’s, specialist degrees, or certificates and review study plans.
  • Advise on policies, manage graduate study options for EIU seniors, and ensure compliance with accelerated/second master’s programs.
  • Process waivers, graduation applications, update the degree audit system, and verify transfer credits.
  • Oversee multiple accounts and budgets for the Graduate School including grants, and scholarships.
  • Collaborate with the budget office, monitor fiscal activities, and prepare budget reports.
  • Ensure award compliance, resolve payroll and budget issues, and serve as liaison between departments, payroll, and the budget office.
  • Provide administrative support to the Dean, supervise staff, and serve as liaison between the Dean, academic departments, administrative offices, and the Provost’s Office.
  • Manage the Dean’s schedule, travel, correspondence, and represent the Dean at university functions.
  • Communicate policy changes, implement procedures for graduate awards & assistantships, and oversee inventory & equipment management for the Graduate School.
  • Manage the Graduate Assistantship program, including contracts, payroll, compliance, and budget oversight.
  • Ensure adherence to regulations and collaborate with departments to assign qualified graduate assistants.
  • Develop compliance reports and provide regulatory guidance to awarding units.
  • Coordinate GA orientations, special contracts, external agreements, and awards, and handle violations.
  • Serve as liaison between sponsoring units, payroll, and campus offices.

Minimum Qualifications

  • Bachelor's degree
  • One (1) year (12 months) in education, training and/or work experience in the area of specialization inherent to the position. (Note: Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)

Preferred Qualifications

  • Familiarity with administrative procedures involved with academic programs.
  • Experience with handling budgets and spreadsheet calculations.

Work Hours

The core work hours of this position are Monday through Friday, from 8:00 AM to 4:30 PM.

Salary: $4,235 - $4,350/monthly; final rate will be commensurate with experience.
