Essential Duties And Responsibilities
- Assists the President & CEO and Executive Leadership Team (ELT) with administrative tasks (including but not limited to):
- Uses discretion, judgment, and knowledge of the organization to facilitate the President & CEO’s schedule/activities and maintain strict confidentiality.
- Organizes meetings, events, appointments, and travel arrangements on behalf of the ELT; handles expense reconciliations.
- Coordinates All-Staff meetings and planning and logistics for significant organizational events..
- Ensures accuracy and timeliness of incoming and outgoing correspondence.
- Acts as administrative liaison to Board of Directors and Board Committee members:
- Maintains record of all Board and Board-related documents.
- Ensures compliance with Board bylaws and law regulation.
- Development of clear and frequent lines of communication between President & CEO and the Board/Committee members (e.g. meeting notices, documents, minutes, recordings, etc.).
- Coordinates and takes minutes at Board of Directors and Board Committee meetings.
- Coordinates contract and record retention Facilitates contract execution with relevant parties, including electronic and physical signatures as needed.
- Administers contract retention system.
- Ensures contractual compliance with EIHC policies and procedures and as directed by the Contract Life Management (CLM) procedure.
- Responsible for organizational record retention.
- Orders and maintains general office and breakroom supplies.
- Provides support for organizational meetings and events, including ordering food, beverages, and other needed items.
- Logs and reconciles checks as a non-member of the Finance Department.
