What are the responsibilities and job description for the (Houston) Operations Assistant position at Eastern Metal Supply?
Position Summary:
The role of the Operations Assistant is to support the Operations Manager and Transportation Manager in all day to day functions of EMS-TX facilities, equipment, fleet and drivers.
Primary responsibilities of the Operations Assistant are ensuring that our trucks, trailers and drivers comply with DOT regulations and company policies as well as being the conduit of communications between the drivers and the rest of the company. Additional responsibilities include ordering supplies, completing, submitting and maintaining all necessary DOT, OSHA, accident/incident and EMS records for compliance.
Duties and Responsibilities:
- Order warehouse/driver/fabrication supplies for TX and AR locations, set up new accounts with vendors and approve invoices.
- Negotiate, hire, maintain and schedule all facility management and repairs including but not limited to building repairs, landscaping, janitorial, backflow, fire alarm, and security needs.
- Assist the Operations Manager, Transportation Manager with the recruitment, hiring, development and retention of company drivers. Arrange with staffing agencies the need for temp drivers as needed.
- Program and train drivers on ELD, communicate with drivers on ELD corrections and adjustments. Issue cell phones and tablets and train in usage.
- Maintain files on tractors, trailers and equipment repairs. Add and retire units as needed.
- Maintain all permits on tractors and trailers and communicate to drivers when PM's, permits and DOT inspections are due. Maintain and issue Pike, PrePass and EZ tags and accounts.
- Assist drivers in solving any truck or trailer mechanical problems including working with our leasing companies, scheduling PM's, service calls, and maintaining the driver notification board.
- Review driver's logs, fuel reports and paperwork and forward appropriate forms to leasing companies. Scan, code and submit driver receipts.
- Work with Operations Manager, OAM, Transportation Manager and the Florida Safety team on periodic safety and compliance training and recording for employees of all EMS-TX facilities.
- Set up pre-employment and random drug screens.
- Maintain, process and report all incident, injury, vehicle accident and workers comp claims.
- Any other and all tasks as assigned by the Operations Manager, Transportation Manager or VP.
