Position Overview
Position Summary
Under general supervision; perform a variety of office clerical functions for the department(s) on a regular basis. Report to departmental chair; accept direction from CET graduate coordinators, as well as senior administrative assistant.
Requirements
Duties and Responsibilities :
- Provide administrative support for all department undergraduate and graduate programs and faculty.
- Work collegially with senior administrative assistant and other departmental administrative assistants and staff
- Perform routine administrative duties for department chair, CET graduate coordinators and departmental faculty including, but not limited to, word processing, filing, verifying information, travel forms, textbook desk copies, equipment maintenance, shredding, coordinating flow of documents and scheduling events and meetings
- Efficiently and effectively operate personal computer to enter data, compile and type reports, prepare letters, and general correspondence
- Monitor departmental budget(s) and perform routine record keeping duties including regular monthly reports to department chairs
- Perform a range of operational support activities for the department(s) and serve as a liaison with other departments on basic administrative and / or operational matters
- Greet and direct visitors, and when appropriate, resolve routine problems and answer inquiries concerning activities and operations of the department(s), accept, screen and route telephone calls, and maintain log of inquiries as required
- Sort, screen, and distribute mail
- Order, stock and distribute office supplies
- Perform duties related to faculty evaluations : Distribute digital copies to faculty; electronically, organize completed evaluations including transcription of student comments
- Adhere to university delineated workflow and procedures at all times
- Fulfill data requests, enter data as required into CET undergraduate and graduate databases in collaboration with Dean's office, assessment coordinator, teacher education office, graduate coordinators, and assistant dean
- Maintain confidentiality on all matters related to the work of this office and college
- Assist with one commencement event during each academic year
- Oversee functional activities of student employees and serve as role model for those students
- Work with CDC Director and CA Faculty to complete all required paperwork associated with CDC / USDA food program.
- Manage workflow related to graduate applications
- Maintain all electronic and paper files related to graduate studies in CET and purge as directed by graduate coordinator
- Assure accuracy of course schedules at both undergraduate and graduate level
- Assure proper room reservations are made per undergraduate and graduate class / event
- Assist with CET sponsored activities as requested
- Perform other duties as assigned and required
Minimum Job Requirements :
High school diploma or GED certificate and a minimum of six months experience directly related to the duties specified are required.
