What are the responsibilities and job description for the Medical Records Specialist I position at Eastern Shore Rural Health System?
The Medical Records Specialist I is responsible for managing patients’ health records and history, and filing records and collecting information.
- Requires a high school diploma or equivalent.
- Work experience in a medical or business office preferred.
- Must be professional, self-motivated and have strong attention to detail, good communication,
- Must demonstrate excellent internal and external customer service skills.
- Bilingual skills are a plus.
1. Pull electronic faxes from fax folder daily.
a. Place documents into patients’ chart.
b. Responsible for covering other centers fax folders when staffing is limited.
c. See procedure for additional items.
2. Attach scanned documents correctly.
a. Create an order for lab/diagnostic order and attach as appropriate.
b. Ensure referral is closed out when documentation is received.
3. Responsible for answering all incoming calls to the medical records department and assisting as needed.
4. Pull hospital ER, discharge, and newborn records. Scan into chart, call patient to follow-up and make appointment if needed, time stamp and send to primary care provider.
5. Responsible for sorting and processing all mail, external and interoffice, and scanning into patients’ chart.
6. Check medical records email inbox daily and send and receive medical records through a secure process.
7. Responsible for all requests for medical records and items needed for the patients’ chart from business office staff.
8. Ensure release of information for outgoing records is processed in 14 days or less.
9. Create claim when there is a fee for record pick up.
10. Other duties and tasks as directed by the Medical Records Coordinator.
ADDITIONAL DUTIES ASSIGNED TO DESIGNATED BILINGUAL STAFF
1. If qualified, perform interpretation/translation services for ESRHS centers.
2. If qualified, assist patients with signing up for the Migrant Clinician Network.
