Job Overview
We are seeking a highly organized and proactive Office Manager to oversee the daily operations of our office. The ideal candidate will be responsible for ensuring efficient office management, supporting staff, and maintaining a productive work environment. This role requires strong clerical skills, excellent communication abilities, and a commitment to fostering a positive workplace culture.
As the representative of the company, the position must present a professional appearance and demeanor, with excellent written and verbal communication skills, be detail oriented and self motivated. The ability to handle multiple tasks simultaneously, manage deadlines, and resolve conflict is important. The candidate must be team-oriented, as a key player in the successful running of the office's operations. Must be willing to bring fresh ideas & possible solutions in order to enhance office efficiency. This is an on-site position during normal business hours.
Duties
- Manage office operations including clerical tasks, file management, calendar management, office supply and machinery inventory to ensure smooth workflow.
- Conduct new employee orientation; background check and all proper documentation for new hires
- Track & inform employees of documents that need to be renewed; CPR, First Aid, auto insurance, background check, etc.
- Assist PCA’s in acquiring their Medicaid ID billing number through Alaska Medicaid Provider
- Oversee phone systems and ensure effective communication within the office.
- Develop and implement training programs for new staff members to enhance their skills and knowledge.
- Maintain an organized filing system for easy access to important documents and records.
- Support program management functions as needed, ensuring compliance with relevant regulations, including assisting finance with any required audit prep and organization as needed.
- Coordinate schedules, meetings, and appointments for Executive Director to optimize productivity.
- Foster a collaborative environment by encouraging teamwork and open communication among staff.
- Be willing to provide Notary services.
Experience & Qualifications
- Proven experience in office management or similar roles is required.
- Ability to manage sensitive documents and maintain confidentiality.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Forward thinking with a desire to improve any and all office processes and procedures
- Proficiency in clerical duties and familiarity with phone systems is essential.
- Proficient computer skills required in Word, Excel, Adobe PDF, and Outlook. A willingness to learn additional software as needed
- Experience in training development is a plus.
- Excellent interpersonal skills with a focus on customer service and team collaboration.
- Must be willing to assist in maintaining social media avenues
