What are the responsibilities and job description for the Therapy Manager position at Easterseals Arkansas?

Summary: Responsible for staff supervision, scheduling, mentoring, training, and development to ensure compliance and best practices are implemented. Allocation of time between manager duties and billable time (treatment and evaluation) to be determined by the Director based on the needs of the programs and will be provided in writing to each manager initially and anytime there is a change. Provide therapy and evaluation services in accordance with best practices and as defined by licensing board and governing agencies.

Essential Duties and Responsibilities: Include the following. Other duties may be assigned.

Manager Responsibilities

Works in partnership with Director and other managers to monitor the delivery of services in compliance with governing regulations and best practice per respective discipline, disseminate information, resolve questions/concerns, etc.

Coordinates with Director to implement training and professional development plans for each therapist to provide for growth and specialization opportunities that align with the needs of the children and adults receiving therapy services.

Observes therapy treatment and evaluation sessions to provide additional training/mentoring for therapists based on identified needs.

Assists in the scheduling and delivery of orientation and onboarding for new therapists including access and use of EHR platform.

Reviews and manages processes for data collection related to utilization and other key metrics as identified by the Director.

Supports teaming initiatives between therapy disciplines and/or other ESA programs.

Reviews evaluation reports, treatment notes and prior authorization documents to ensure that documents contain all required components, are complete and document clearly service delivery in relation to goals and objectives and are completed within established timeframes.

Monitors therapy caseloads including working with Support Services department to establish evaluation and treatment schedules, recommends schedule changes to the Director if unable to resolve conflicting issues, and assists with same day adjustments. (This may be assigned to one manager to manage for all disciplines).

Works with Director to ensure consistency and fidelity of implementation of evidence-based practices across all disciplines.

Assists staff in implementing effective behavior management plans that include best practices strategies and monitors for consistency and compliance. Ensures that behavior management plans are documented and are included in individual treatment plan that has been reviewed and approved by all team members and individual and/or parent/guardian.

Ensures that all assistive technology (high and lo-tech, AAC and mobility equipment) is maintained and ready for use as applicable for discipline. (This may be assigned to one manager to monitor process fidelity for all disciplines).

Serves as point of contact with universities to coordinate placement, gather and maintain required credentials, and secure supervision of post-secondary education students seeking clinical experience. (This may be assigned to one manager to manage all disciplines).

Collaborates with Family Resource Coordinator to monitor logistics for the Infant Monitoring Program in terms of sustainability, access to and provision of quality services and resource utilization.

Reports any concerns with job performance or quality of work of therapists to the Director and assists, as applicable, in the development and monitoring of performance improvement plan(s).

Serves as a key resource for therapists and other ESA staff for day to day problem-solving and troubleshooting.

Acts as liaison to various Easterseals Arkansas programs as delegated by the Director.

Monitors to ensure that all therapists treat at or above 75% of work hours.

Treatment and Evaluation Services

Reviews social history, psychological, medical, and previous therapy reports/records.

Meet with individual and/or parent/guardian to discuss and establish needs.

Administers appropriate tests and evaluates to determine functional level and potential.

Communicates information to team participants and provides input for treatment plan development.

Makes referral or recommendation for therapy and/or equipment.

Develops treatment plan from physician's orders and evaluation results that fosters and supports development of essential skills necessary to promote independence across all environments.

Conducts individual and/or group sessions within the clinic site to work on specific goals objectives.

Communicates individual’s program and program changes to team members for consistency and reinforcement throughout all service disciplines (Education, OT, ST, PT, ABA).

Modifies treatment and equipment, when necessary, in response to development and progress within present goals and objectives.

Completes paperwork and other documentation as required by the program, licensing agencies, and funding sources, e.g., progress notes, attendance records, flow sheets, etc.

Utilizes evidence-based methods to address challenging behavior.

Trains and disseminates information to individual and/or parent/guardian regarding treatment programs, home programming, and follow-through.

Compliance/HIPAA

While performing the duties of this job, employee will comply with all federal, state and local laws and regulations pertaining to Easter Seals Arkansas.

Employee has access to all client protected health information of the individuals directly served by this person, except psychotherapy notes. Employee will not attempt to access any other protected health information unless otherwise approved by Supervisor or Privacy Officer.

In collaboration with the Director will supervise therapists within area of therapy practice. Carries out supervisory responsibilities in accordance with the organization’s policies, procedures, and applicable laws. Responsibilities include training employees; planning, assigning, and directing work; appraising performance, rewarding, and disciplining employees; addressing complaints and resolving problems. In collaboration with the Director, interviews and hires new employees.
