POSITION TITLE: Camper Coordinator
POSITION LOCATION: Timber Pointe Outdoor Center, 20 Timber Pointe Lane, Hudson, IL 61748
POSITION STATUS: Non-Exempt/hourly
POSITION SCHEDULE: This position will be part time but year-round, averaging about 20 hours per week.

Position Objective: The Camper Coordinator performs diverse clerical and receptionist duties specific to Timber Pointe Outdoor Center. This position’s main function is to assist with the recruitment, registration, and retention of campers and families for all Timber Pointe programming, serving as an instrumental part of creating welcoming and meaningful experiences for our campers and families.
Job Functions:
- Receives, handles and transfers phone calls and messages promptly, courteously and accurately.
- Greets and assists individuals, visitors and volunteers of Timber Pointe Outdoor Center.
- Gives facility tours to potential individual and group users.
- Serves as Registrar for camp sessions. Processes and maintains camper registrations, enrollment materials, payments and related files and records.
- Serves as main contact for families and caregivers in registering campers for various camps.
- Assists and is present for camper check-ins, which may include times during the evenings/weekends.
- Organizes and tracks camper scholarships.
- Assists in designing and implementation of camper recruitment. Identifies, connects, and provides information about Timber Pointe and camp sessions to relevant organizations, community groups, parent support groups, schools, etc. to increase new camper enrollment, and organizes meetings/speaking opportunities for Camp Director.
- Maintains statistical data on campers and families, and prepares reports, as requested.
- Creates and distributes materials/communication for incoming campers or families, such as paperwork/payment reminder emails, acceptance emails, welcome packets, etc.
- Sends post-camp surveys and follow-ups, helping maintain a connection to campers year-round and building positive rapport with parents/families.
- Assists in preparing facilities and materials for camp sessions and user groups, as needed.
- Contributes to the maintenance of the volunteer database, paperwork and records, and assists in connecting volunteers with appropriate staff member.
- Processes and distribute incoming mail and deposits outgoing mail.
- Assists the Guest Experience Coordinator with rentals and events during camp off-season as needed.
- Other duties as assigned.
Education/Experience Requirements:
- High school diploma or equivalent.
- A minimum of two years of successful experience in an office setting, preferred.
- Valid driver’s license.
- Excellent written and oral communication skills.
- Demonstrated administrative, organizational and data-entry skills.
- Ability and willingness to maintain a flexible work schedule.
Competency Requirements:
- Exceptional customer service skills.
- Advanced interpersonal skills necessary to work effectively with person of various cultural, economic and educational backgrounds to build rapport and positive relationships.
- Ability to work independently and as a team member, to make sound judgments/decisions and to effectively prioritize work assignments.
- Ability to manage multiple tasks at one time.
- Ability to operate basic office equipment (e.g., copier, fax machine, postage meter)
- Demonstrated computer skills including word processing, data processing, spreadsheets and presentation software.
Physical Requirements:
- Ability to lift and/or carry up to 25 pounds.
- Ability to reach and grab with arms and hands, manual dexterity and the ability to communicate with others.
- Ability to independently navigate Timber Pointe’s 170-acre facility.
- Ability to proofread and check documents for accuracy on an hourly basis.
- Ability to use a keyboard and video display terminal to retrieve and/or audit information on an hourly basis.
- Ability to use a keyboard to enter and transform words or data on an hourly basis.
Work Environment:
- Normal office environment with little exposure to excessive noise, dust, temperature and the like.
- Outdoor camp environment with exposure to all types of weather and conditions including extreme heat and cold, snow, rain, etc.

The compensation for this position is an hourly rate of $15.00.
