Position Summary
The Executive Assistant and Project Manager oversees administrative and project management functions for the Senior Vice President’s office. Leveraging strong organizational, project, and time management skills with attention to detail, this role coordinates multiple schedules, prepares required reporting, and ensures seamless communication across functional areas. Responsibilities include calendaring, travel coordination, meeting arrangements, strategic planning, and acting as the main point of contact for internal and external stakeholders while maintaining a high level of confidentiality.
Essential Functions
- Calendar Management: Oversees a complex calendar, scheduling and preparing for internal and external meetings, and ensuring timely adjustments.
- Event Coordination: Plans and coordinates large-scale meetings, including venue reservations and associated logistics.
- Strategic Reporting: Prepares strategic reports for senior management using performance or program-level data.
- Expense Reconciliation: Manages credit card reconciliations for the Senior Vice President and senior management.
- Customer Service: Provides exceptional service to internal and external stakeholders, ensuring professionalism and discretion.
- Communication Management: Acts as a liaison between executives and stakeholders, managing email and call prioritization.
- Documentation and Communication: Formats and prepares internal and external communication materials, such as memos, emails, and presentations.
- Meeting Support: Records minutes during key meetings and follows up as necessary.
- Travel Arrangements: Coordinates domestic and international travel plans, including detailed pre-planning.
- Virtual Office Management: Supports virtual office operations, ensuring effective communication across functional areas.
- Special Projects: Manages quarterly and monthly reports for boards, donors, and other stakeholders as assigned.
- Confidentiality: Safeguards sensitive information and maintains discretion.
- Additional Duties: Performs other tasks as assigned by the supervisor.
Requirements
Education & Experience:
- Bachelor’s degree in business, management, communication, or a related field preferred.
- Minimum of 5 years of executive-level administrative support in a fast-paced environment.
- Direct project management experience is required.
- Equivalent education and experience may be considered for minimum qualifications.
Competencies/Technical Skills:
- Strong interpersonal and communication skills to interact effectively with a diverse community.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and moderate skills in Salesforce (CRMs). Work Day Expense Report
