We are looking for a Sr. Administrative Assistant to support the Chief Executive Officer (CEO) of a nonprofit organization dedicated to youth and advocacy. This role requires a highly organized and proactive individual who can manage executive priorities, stakeholder relationships, and administrative tasks in a fast-paced environment.
Key Responsibilities
Executive Support & Calendar Management
- Manage the CEO’s complex schedule, including board meetings, internal commitments, and external engagements.
- Ensure seamless coordination with a focus on scheduling flexibility.
- Oversee and manage executive email correspondence and document organization.
Board & Stakeholder Relations
- Act as a confidential liaison between the CEO and board members, donors, elected officials, and community stakeholders.
- Accurately document and distribute board meeting minutes, tracking action items to completion.
- Manage the Board of Directors Portal and ensure compliance with annual board-related requirements.
Administrative & Project Coordination
- Prepare executive-level presentations, reports, and key documents.
- Track and follow up on priority projects to ensure deadlines are met.
- Maintain organized digital files and records.
Communication & Representation
- Demonstrate strong written and verbal communication skills in all interactions.
- Represent the CEO with professionalism and diplomacy in high-pressure situations.
Qualifications & Experience
- Education: Some college preferred; may substitute with 5 years of direct administrative experience.
- Experience:
- 3 years in administrative roles within a mid-size organization.
- Experience supporting C-suite executives (preferred).
- Familiarity with board governance processes in a nonprofit setting (preferred).
- Technical Skills:
- Advanced proficiency in Microsoft Office 365 (Excel, Word, Outlook, PowerPoint).
- Strong project and time management skills.
- Other Requirements:
- Ability to work with diverse populations and maintain professional relationships.
- Reliable transportation for occasional work-related travel.
- Flexible availability for occasional after-hours events.
