We are seeking a highly organized, proactive, and detail-oriented Real Estate Transaction Coordinator/Manager to join our dynamic team and oversee transactions from contract to close.
Position Overview
The Transaction Coordinator/Manager will be responsible for managing and overseeing all aspects of real estate transactions across multiple states. This role requires working closely with our clients—including agents, investors, and sellers—as well as managing a distributed team of state-specific transaction coordinators to ensure a smooth, timely, and professional transaction experience.
Key Responsibilities
Transaction Management
- Coordinate all facets of the transaction process from executed contract to closing across multiple states.
- Maintain an organized pipeline of active transactions and ensure all deadlines are met.
- Oversee document collection, compliance review, and signature completion through platforms like DocuSign, Dotloop, or Skyslope.
- Ensure all contracts and documentation are properly filed and recorded per state regulations and company standards.
Team Coordination & Oversight
- Manage and support a team of remote, state-specific transaction coordinators.
- Implement systems to track performance, capacity, and timeline compliance for each TC.
- Provide training and ongoing support to ensure adherence to ESO’s processes and service-level expectations.
Client Communication & Support
- Serve as a primary point of contact for clients (agents, investors, and selling brokers) throughout the transaction lifecycle.
- Provide regular status updates and proactive communication to all parties involved.
- Troubleshoot issues as they arise and act as a liaison between buyers, sellers, title companies, escrow officers, and internal teams.
Compliance & Process Improvement
- Monitor and maintain compliance with all local, state, and federal real estate regulations.
- Work with the leadership team to refine transaction workflows, tools, and best practices.
- Contribute to SOP documentation and internal knowledge base development.
Required Qualifications
- 3 years of experience in residential real estate transaction coordination or management.
- Experience working across multiple states and familiarity with varying state regulations.
- Strong understanding of real estate contracts, timelines, and closing processes.
- Exceptional organizational skills with the ability to manage multiple deadlines and details simultaneously.
- Excellent written and verbal communication skills.
- Comfortable working with digital tools such as Google Workspace, CRMs (HubSpot preferred), and transaction platforms (Skyslope, Dotloop, etc.).
- Experience managing a remote team is a major plus.
- Proactive, self-driven, and comfortable working in a fast-paced, ever-evolving environment.
Preferred Qualifications
- Real estate license (active or inactive) is a must.
- Previous experience working with investors or off-market transactions.
- Familiarity with institutional/investor buyer processes.
