Description:
The Clinical Practice Manager is directly responsible for oversight and coordination of all administrative and operational functions associated with an assigned clinical site. This includes ensuring a smooth and efficient operation, inventory control, personnel management, patient relations and patient flow. This role will support the mission, purpose, philosophy objectives, policies and procedures of Cooperative Health (also known as the Cooperative) through daily operations.
Principal Responsibilities:
- Model the efficient operation of the office by scheduling and assigning tasks, resolving problems, collecting data to monitor progress, carrying assigned workload and filling in as necessary.
- Implement, and monitor adherence to, departmental goals and objectives for the office.
- Provide financial oversight of the office, including having monthly meetings with finance regarding billing and collections.
- Analyze needs and develop recommendations in order to align with the strategic direction of the organization.
- Ensure that all staff members communicate and interact with patients in a courteous, respectful and professional manner.
- Hold staff accountable for customer service standards, and take appropriate action when incidents occur.
- Implement individual staff performance expectations and complete all aspects of staff performance appraisals and reviews.
- Coach and mentor staff to be successful in contributing to the achievement of individual and office objectives.
- Manage staff schedules in line with provider schedules and coordinates vacation and personal time off to ensure minimum disruption to practice operations.
- Prepare reports and provide statistical summaries as requested by supervisor or Cooperative Health.
- Review operational budget and expenditures, to ensure the clinical site remains within the set budgetary parameters.
- Effectively and continually communicate with site staff, customers and Cooperative Health to facilitate the flow of information necessary to the success of site staff.
- Promote teamwork within the practice through timely and collaborative communication with medical staff.
- Conduct monthly staff meetings to discuss issues, concerns, and improvement initiatives while promoting teamwork. Oversee building and equipment maintenance, and manages appropriate inventories
- Take the lead on working with team members within, and across sites, to create awareness of national health observances.
- Be proactive in identifying further health services or initiatives that might benefit patients.
- Attend relevant meetings, including monthly Clinical Operations Managers’ meeting and CPM meetings.
- Represent the office on internal organizational committees/working groups as assigned.
- Promote team building, and recommend training topics to upskill the team.
- Offer peer support to team members and serve as a buddy to other colleagues when called upon.
- Support other team members visiting from other sites.
Education & Experience :
- Bachelor of Business Administration, Healthcare Administration or related area of study.
- Three or more years of progressive, hands –on managerial experience in a medical practice.
- Experience with Patient Centered Medical Home (PCMH) preferred.
Competencies:
- Working knowledge of medical practice management and operations.
- Proficiency in Microsoft Suite, including Word, Excel, and PowerPoint.
- Understanding of electronic medical record and billing systems and related applications.
- Demonstrated understanding of healthcare fiscal management.
- Ability to apply policies and principles in addressing various situations.
