Position Description: Church Secretary
Department: Administrative
Reports To: Pastor / Church Administrator
Position Type: Part-Time (16 hours, 9-1 pm, T-F)
Position Overview
The Church Secretary is responsible for providing administrative support to the church staff and congregation, managing the day-to-day operations of the church office, and ensuring clear communication within the church community. This role requires good communication and organizational skills, discretion, and a commitment to supporting the church’s ministry and mission.
Key Responsibilities
- Administrative Support
- Maintain the church calendar, scheduling events, meetings, and facility usage.
- Design and distribute weekly bulletins, newsletters, and other communications.
- Respond to phone calls, emails, and other inquiries in a timely and professional manner.
- Office Management
- Oversee the church office, ensuring supplies and equipment are adequately maintained.
- Maintain accurate records, including membership databases, financial donations, and meeting minutes.
- File and organize important documents securely, adhering to confidentiality standards.
- Communication and Outreach
- Serve as the central contact for the church, welcoming visitors and members with kindness.
- Coordinate with ministry leaders and volunteers to ensure timely dissemination of information.
- Assist with updating the church website and social media platforms, as needed.
- Support to Church Leadership
- Assist the Pastor and staff with correspondence, scheduling, and administrative tasks.
- Prepare materials for meetings, including agendas, reports, and minutes.
- Ensure effective communication between church staff, congregation members, and committees.
- Event Coordination
- Provide administrative support for church events, weddings, funerals, and special services.
- Assist with volunteer coordination and scheduling for events and ministries.
- Manage facility reservations and communicate logistics with the appropriate parties.

Position Requirements
- Experience:
- 2 years of experience in an administrative or office support role preferred. Non-profit or church experience is a plus.
- Education:
- High school diploma or equivalent; Associate’s degree in administration or a related field preferred.
- Commitment to Mission:
- Understanding of and willingness to support the mission and values of the church.
- Work Conditions:
- Office-based with limited periodic attendance at church functions or events outside of regular hours.
Evaluation Criteria
The Church Secretary’s performance will be reviewed annually by the Pastor and Staff-Parish Relations Committee to assess:
- Efficiency in administrative and office management tasks.
- Effectiveness in supporting the ministry of the church.
- Quality of communication and collaboration within the church community.
