The Office Manager will be responsible for facilities and office management, and sample management. The Office Manager will ensure our employee experience runs smoothly for the entire team, those who work from the office regularly, as well as those who travel periodically for meetings and events. This person will also be responsible for maintaining all physical samples spaces and coordinating all inbound and outbound inventory requests. They will also oversee the bi-annual samples sales as detailed below.

What You'll Do
Facilities & Office Management
- Greet all guests (check-in) in friendly and engaging manner
- Sign for deliveries and distribute to appropriate person (and outgoing mail which may include dropping off at outside USPS, UPS, FedEx locations)
- Sort and distribute mail
- Make sure office is neat, clean, and organized
- Partner with building/property security and facilities management
- Liaison with office building staff, manage and maintain office access and parking permits
- Proactively manage and maintain office equipment to ensure everything is running smoothly
- Order and organize office supplies, as needed
- Monitor and track office keys and alarm codes, as necessary
- Calendaring of company-wide meetings and events
- Assist with organizing company events (including Joyful Celebrations, meetings, team events, celebrations for company milestones, staff off-site meetings)
- Manage conference room calendar and ensure efficiency
- Coordinate with Ameriworld to receive and return items
- Ensure office is in compliance (labor law posters, building permits, etc.)
- Receive and log / check-in all samples in a timely manner
- Maintain the organization of all sample closets
- Coordinate, organize and pack merchandise for all scheduled pulls (Marketing, photoshoots, editorial, etc.)
- Oversee the seasonal sample switch, in which past seasons are transferred to the archive or prepared for sample sale
- Keep inventory control of pulled items, and request back as needed
- Request and manage all shipping labels
- Support organization and execution of sample sale across three cities, bi-annually
- Work with Design to review all sample construction for accuracy
- Maintain and update sample inventory
- Additional related duties as assigned
- 3 years’ experience as an office manager and/or executive assistant
- High emotional intelligence, maintain poise and have impeccable judgment under pressure
- Proven ability to keep all information highly confidential, capable of handling sensitive and sometimes difficult situations/interactions
- Able to work with a diverse group of people at all levels
- Resourceful, able to adapt to changing needs; willing to help when needed
- Extreme attention to detail and highly organized
- Excellent multi-tasking and time management skills
- Excellent verbal and written communications skills
- Excellent calendar management skills
- Technology savvy
- Able to bend, reach, lift, and move product; Able to lift and carry boxes up to 25lbs
