We are looking for a Senior Executive Assistant to assist with digital health transformation efforts. This person will play a pivotal role in driving work end-to-end to support operational efficiency within the Program and across the organization. This role will work in collaboration with Leadership, Operations and Communications to manage projects, with a dual focus on administrative coordination and executive communications to effectively communicate project goals and data to various stakeholders.
The ideal candidate will possess business and organizational acumen to manage multiple projects within deadlines . A collaborative spirit is essential for gathering necessary insights, data, and feedback from stakeholders.
Role, Responsibilities, and Competencies :
- Provide calendar management support; book meetings, ensuring relevant details and appropriate attendees.
- Book travel on Defense Travel System (DTS) and develop detailed itineraries.
- Attend meetings to take notes and track takeaways.
- Co-locate when leadership is onsite.
- Collaborate with the Stakeholder Engagement and Program Communications team to support executive-level presentations.
- Maintain deliverable schedules to ensure leadership can appropriately contribute to material development.
- Aggregate, distill and utilize information that can meaningfully contribute to internal and external messaging.
- Partner with Talent Management to track incoming and outgoing personnel, org chart changes, etc.
- Partner with Action Officer to ensure stakeholders action in a timely manner; support Program stakeholders with responding to Taskers
Success in this role will be defined by the ability to work in ambiguity and to distill complex information. This role should have a pulse on the organizational and Program calendars, ensuring all deliverables and deadlines are tracked and managed appropriately. Regular updates and refinements to documents and presentations based on stakeholder feedback will be crucial for continuous improvement. This person should drive work independently end to end, accurately prioritize responsibilities, and develop informed recommendations.
