Job Title: Accounting Administrator (Accounts Payable)
Summary: This position is responsible for compiling, classifying, recording, verifying, and maintaining data and payments to Accounts Payable records.
Essential Functions of the Job: The essential functions of this job require the person, with or without reasonable accommodations, to perform the following:
- Create and maintain vendor accounts. Verify we have received the vendor’s Form W9 or Form W-8-BEN-E. Log onto the IRS website to confirm the taxpayer ID on the Form W9 is correct. Maintain a database for the Form W-8-BEN-E.
- Process foreign and domestic invoices for payment, which includes reviewing for mathematical accuracy, obtaining authorization to pay, proper general ledger account coding, and data entry in the accounting system.
- Audit invoices against purchase orders, research discrepancies, and approve for payment.
- Request statement of accounts from vendors. Investigate payment problems with vendors or purchasing agents.
- Issue Sales Tax Exemption Certificates (if applicable) to vendors. Monitor the expiration dates on the Sales Tax Exemption Certificates to assure the Certificates are valid.
- Prepare, sort, copy, file, and mail invoices, receipts, checks, correspondence, and other requested items.
- Prepare checks and answer inquiries. | Prepare analysis and summary of accounts.
- Monitor Accounts Payable to ensure payments are accurate and timely.
- Review Employee Expense Reports.
- Assist in monthly and annual closings.
- Use the following software programs: MAC-PAC, Sequel, Concur, SAP, Microsoft Excel and Word.
- Perform ad-hoc duties as assigned.
Recommended Education and/or Experience
Associate’s degree in a related field with a minimum one-year related experience.
