What are the responsibilities and job description for the Office Manager - construction position at ECC?
The Office Manager position is responsible for managing a busy construction project office to ensure that the corporate and project objectives are accomplished within prescribed time frame and funding parameter. This is a great opportunity for someone who likes to jump in and get the work done, who thrieves in fast paced environmentals with a variety of responsibilities. Who can work additional hours when needed (our project operates 10 hours a day, 6 days a week). - Manage the project office including general reception activities, arranging meetings, ordering supplies, coordinating travel arrangements, organizing and filing project documentation, producing reports, duplicating, maintaining office equipment, coding invoices, and managing petty cash
- Assist the Project Management Team in project execution and control including reviewing project plans to determine time frames, funding limitations, procedures, staffing requirements, and allotment of available resources to various phases of the project
- Communicate extensively with the ECC Management Team, the client, vendors and the general public
- Prepare correspondence for the ECC management team
- Assist with project presentations as requested
- Managing project accounts paybale to Corporate AP through data enry into OIS system and check requests.
- Coordinate and communicate with rental apartment complex to include furnishings packages for all apartment unitls, ensuring monthly invoices submitted for payment, leasing of additional apartments, etc.
- Track personnel access to base and update in SharePoint
- Submit and track DBID requests
- Coordinate monthly team building activities
- Maintain office supplies and office groceriesIn addition to the accountabilities above, other responsibilities, tasks, and deliverables may be assigned to the incumbent of this position
- Communicate effectively by written and verbal means
- Work well independently and as a team; ability to interact with client when needed
- Competent in using Microsoft Office products (Word, Excel, PowerPoint), email systems, and Adobe Acrobat (editing pdf documents)
- Strong attention to detail and able to meet deadlines
- Proactive and flexible to adjust with business needs
- Three years experience managing office operations desired
- Two years experience assisting a Project Team in project execution and control managing various resources to ensure completion of project based on timeline desired.
- Education: High School dipolma or GED, Associate’s degree preferred.
- Prior experience working in a project office or construction office desired, but not required.
ECC targeted salary range for Tampa, FL is $48,000 to $58,000 annually. Actual salary offered may be affected by education, training, certifications, experience, skills, level of responsibility, and location.
