Job Summary:
The Maintenance Technician plays a vital role in ensuring the safety, functionality, and upkeep of residential properties. Reporting to the Maintenance Manager and Property Manager, this position is responsible for performing a wide range of maintenance tasks, including routine repairs, emergency responses, and assisting with unit turnovers. The Maintenance Technician ensures all work is completed to high standards, contributing to tenant satisfaction and the overall efficiency of the property. In addition to addressing routine, emergency maintenance tasks and unit-turnovers, you will have the most consistent interaction with residents, making your role vital in fostering positive relationships and enhancing resident satisfaction.
Key Responsibilities:
· General Maintenance:
o Perform routine maintenance tasks such as plumbing, electrical, HVAC repairs, painting, cleaning, grounds maintenance and carpentry.
o Respond to tenant maintenance requests in a timely and professional manner.
o Utilize our property management software solution to track work orders, log hours, and provide insights into time spent on each task.
o Assist in implementing the preventive maintenance program to avoid emergency repairs.
o Assisting with groundskeeping, exterior maintenance, irrigation systems, and seasonal preparations to ensure that the property’s outdoor areas are well-maintained.
o Snow removal clearing walkways and driveways as needed using shovels, snow blowers or plows. Salting and de-icing areas to ensure resident and staff safety. Removing snow from roofs in cases of heavy snowfalls to prevent ice dams. Continuing to clear residual snow and ice in high traffic areas.
· Turnover Responsibilities:
o Inspect and repair units after tenant move-outs, including painting, cleaning, and fixing any damages.
o Ensure properties are move-in ready by completing all required turnover tasks within established timelines.
o Assist with monitoring the average time to complete turnovers to ensure efficient use of resources and timely re-leasing of properties.
· Work Orders and Repairs:
o Complete scheduled regular maintenance, inspections, and repairs (e.g., HVAC, plumbing, electrical, and structural).
o Track progress of repairs through the property management software and communicate the status of repairs to management.
o Ensure all work is done in compliance with safety regulations and building codes.
· Vendor and Contractor Coordination:
o Assist the Maintenance Manager in working with external vendors for specialized repairs.
o Monitor vendor and contractor performance to ensure quality standards are met.
o Assist with external vendors when needed for snow removal using specialized equipment.
o Assist with external vendors for specialized groundskeeping services.
· Emergency Response:
o Respond to emergency maintenance issues, such as plumbing leaks, HVAC failures, and electrical outages.
o Participate in the on-call rotation for 24/7 emergency coverage as directed by the Maintenance Manager.
· Inventory Management:
o Maintain tools, equipment, and materials to ensure adequate stock for routine and emergency repairs.
o Assist with maintaining sufficient inventory of common turnover supplies such as paint, hardware, and fixtures to ensure quick completion of turnover tasks.
Key Performance Indicators (KPIs):
· Work Order Response Time:
o Target: 90% of work orders responded to within 24 hours.
o Measurement: Track the time taken to respond to work orders after they are issued: Managed through property management software system.
· Work Order Completion Rate:
o Target: 95% of work orders completed within 3 days.
o Measurement: Monitor the percentage of work orders completed within the set timeframe: Managed through property management software system.
· Quality of Repairs:
o Target: 95% of repairs completed with no recurring issues within 30 days.
o Measurement: Track follow-up requests on previously completed work orders: Managed through property management software system.
· Tenant Satisfaction:
o Target: Maintain 85% or higher satisfaction rate on tenant surveys related to maintenance services.
o Measurement: Use post-service tenant surveys or reviews to assess satisfaction: Managed through reputation software and property management software.
· Preventive Maintenance Completion:
o Target: 100% of scheduled preventive maintenance tasks completed on time.
o Measurement: Track adherence to the preventive maintenance schedule: Managed through property management software.
· Turnover Time for Units:
o Target:
§ 3-4 days: If the home is in good condition, with minor repairs, cleaning, and touch-ups.
§ 5-7 days: If the home needs more extensive repairs (e.g., patching, painting, appliance repairs, or flooring fixes)
o Measurement: Monitor the time from tenant move-out to when the unit is ready for the next tenant: Managed through property management software.
· Emergency Response Time:
o Target: Respond to emergency calls within 1 hour and resolve within 24 hours.
o Measurement: Track response and resolution times for emergency maintenance issues: managed through property management software.
· Safety Compliance:
o Target: Zero safety violations or incidents during work.
o Measurement: Record any safety incidents or near misses and compliance with safety protocols: Managed through reporting any incidents to Property Management team.
· Inventory Management Efficiency:
o Target: Maintain sufficient stock levels to avoid delays without overstocking
o Measurement: Monitor stock levels of common maintenance materials (e.g., filters, paint, hardware): Managed through completing basic routine and turnover maintenance within the allotted time.
· Cost Control:
o Target: Stay within budget for maintenance supplies and repairs.
o Measurement: Track costs of materials, repairs, and replacements compared to budget: Managed through reporting expenses to the Maintenance Manger
· Time Management:
o Target: Complete daily assigned tasks within scheduled working hours.
o Measurement: Track the time taken to complete tasks and work orders versus the time allocated: Managed through property management software.
· Tool and Equipment Care:
o Target: Maintain all tools and equipment in good working condition.
o Measurement: Monitor tool maintenance logs and ensure equipment is regularly serviced and safely stored: Managed through upkeep schedule and duties assigned by the Maintenance Manager.
· Skills Enhancement:
o Work with the Maintenance Manager to identify any outside training or certificates to ensure your maintenance management team remains knowledgeable, efficient, and up to date with industry standards.
§ Goal: Attend 6 – 8 hours’ worth of training once per year via in person (local) or online.
· Qualifications:
o High school diploma or equivalent required; technical training in maintenance fields is a plus.
o 2 years of experience in property maintenance or a similar field.
o Proficiency in basic repairs for plumbing, electrical, HVAC, and general maintenance.
o Strong problem-solving and communication skills.
o Ability to work independently and as part of a team.
o A willingness to work flexible hours, including weekends and emergency on-call shifts.
Work Schedule:
· Regular Hours: Typically works during standard business hours but may need to work evenings or weekends depending on maintenance needs or emergencies.
· On-Call Duties: Required to be on call for emergency repairs outside regular working hours, including nights and weekends
Physical Requirements:
· Regularly use hands to manipulate tools, machinery, equipment, supplies, and office equipment. Frequently stand, reach with hands and arms, climb ladders, balance, and stoop. Sit and stand to do clerical work.
· Regularly lift and move equipment and supplies up to 50-75 lbs.
Typical Work Conditions:
· Work is performed in and outside a maintenance/machinery environment and in and outside residential properties. Employees frequently interact directly with residents, maintenance, and communities’ staff during the workday.

· Varied conditions: Exposure to different environmental conditions, including extreme temperatures, humidity, and weather elements, especially for outdoor tasks.
