SUMMARY:
The Volunteer and Media Coordinator oversees the volunteer program and media marketing services at the ECHO North America Impact Center (NAIC). This role involves recruiting, managing, and supporting volunteers by providing guidance, resources, and empowerment to help them effectively serve and engage in ECHO’s global mission. The coordinator also manages the content and delivery of marketing for the NAIC, including capturing and editing training videos, networking with the online audience, and promoting upcoming trainings, events, and internship opportunities.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Volunteers
 
  1. In collaboration with department managers, identify and maintain a list of volunteer assignments that align with ECHO’s needs and provide meaningful work that connects to ECHO’s vision.
  2. Recruit, screen, and onboard new volunteers to engage in ECHO’s mission on a regular basis.
  3. Create surveys for both new, existing, and departing volunteers to determine what motivates them to volunteer with ECHO and why.
  4. Analyze data to determine if focus groups or interviews are needed for improved volunteer recruitment, engagement, retention, and donor strategies.
  5. Orient and vision-cast for volunteers to help them understand the organization, its network, and its services. Ensure volunteers recognize the regional and global impact of their contributions.
  6. Work with supervisors to ensure all volunteers are properly trained for their assigned tasks.
  7. Coordinate with staff to schedule work teams and manage volunteer assignments.
  8. Communicate regularly with volunteers to keep them connected to ECHO, its mission, and upcoming opportunities.
  9. Cultivate deeper engagement by encouraging volunteers to become more involved with ECHO in developmental, prayerful, and financial capacities regionally and globally.
  10. Match volunteers with fulfilling and meaningful activities that align with their skills, qualifications, and ECHO’s needs.
  11. Collaborate with ECHO staff to:
    a. Ensure departmental needs are met.
    b. Provide appropriate supervision for volunteers.
    c. Ensure volunteer check-in procedures are followed, and records of volunteer hours are maintained.
    d. Ensure volunteers feel best utilized in their roles.
    e. Prioritize volunteer safety.
  12. Plan and implement formal and informal volunteer recognition activities to acknowledge the contributions of volunteers.
  13. Revise and update the volunteer/work team manual as needed.
  14. Implement and maintain volunteer management systems and accurate recordkeeping.
  15. Coordinate with the Docents to schedule tours and stay up to date with policies and procedures at ECHO North America.
Marketing
 
  1. Develop a marketing strategy that aligns with ECHO’s Strategic Plan based on market research, surveys and data received from the audience of the NAIC.
  2. Post regularly on social media platforms (Facebook, Instagram, LinkedIn) to maintain an active online presence.
  3. Create and share relevant content that supports ECHO’s mission and strategic goals, such as short training videos and engaging stories.
  4. Community Management & Public Relations: Engage with the online community by responding to comments, replies, and direct messages to build relationships. Solicit coverage from local media outlets to increase ECHO’s visibility in the community.
  5. Advertising: Promote upcoming trainings, events, and internship opportunities through targeted advertising.
  6. Graphic Design: Capture and creatively edit video and image content while ensuring consistency with ECHO’s branding guidelines.
  7. Identify ways to promote the global ministry of ECHO to SWFL residents and tourists.
Administration
  1. Develop and monitor departmental budgets to ensure financial accountability.
  2. Maintain a volunteer schedule to orient and update volunteers on safety protocols and procedures as needed.
  3. Maintain work team and volunteer information systems, calendars, and reporting to keep records accurate and organized.
  4. Prepare an annual audit by compiling all logged volunteer hours.
  5. Ensure guests are welcomed to campus, which may occasionally require work outside normal business hours.
  6. Monitor social media metrics to identify trends, analyze campaign performance, and make data-driven adjustments to the marketing strategy.
QUALIFICATIONS:

  • Proficiency in common office software; experience with Salesforce and volunteer management systems preferred.

  • Ability to motivate, interact with, and recruit a diverse range of individuals, including those from general, professional, skilled, and retirement communities.
  • Talent for connecting volunteer skills and abilities with the organization’s needs.
  • Effective time management and the ability to plan and organize volunteer tasks to align with departmental objectives and ECHO’s goals.
REQUIRED EDUCATION AND EXPERIENCE:
  1. High school diploma or GED; Bachelor’s degree or higher preferred.
  2. 3-5 years of related experience in program supervision, development, and administration.
  3. Experience in social media marketing preferred.
ORGANIZATIONAL RELATIONSHIPS:
Works with department managers in assigning volunteer tasks and with the Hospitality Coordinator to schedule housing for work teams and volunteers.

WORK ENVIRONMENT:
The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The role typically involves normal office working conditions with occasional outdoor interaction with staff. The noise and activity level are generally moderately quiet, but the environment can occasionally become fast-paced and demanding due to unexpected urgent projects and deadline pressures. The employee must have the temperament to work constructively under pressure while ensuring that volunteers and guests feel welcomed, heard, and valued as part of ECHO’s mission.

PHYSICAL REQUIREMENTS:
The physical demands described here are representative of those required to successfully perform the essential functions of this job. While performing the duties of this role, the employee is regularly required to talk and hear. The role frequently involves standing, walking, using hands to finger, handle, or feel, and reaching with hands and arms. Fine motor skills, such as typing, using a computer mouse, and operating a telephone handset, are required. The employee must frequently lift and/or move objects up to 10 pounds and occasionally lift and/or move objects up to 25 pounds. The role also requires sitting, stooping, kneeling, and crouching.
Specific vision abilities necessary for this job include close vision, distance vision, peripheral vision, depth perception, and the ability to adjust focus.

POSITION TYPE AND EXPECTED HOURS OF WORK:
This is a full-time position. Days and hours of work may vary. Occasional evening and weekend work may be required as job duties demand.

TRAVEL:
Travel is primarily local during the business day.
