Job Title: New Business Intake and Conflicts Coordinator
Location: Florham Park, NJ
Salary: $80,000 - $85,000
About the Job:
We are looking for a highly motivated and detail-oriented New Business Intake and Conflicts Coordinator to join our team in Florham Park, NJ. This dynamic role will involve managing conflict searches, obtaining conflict clearance, processing new client and matter requests, and supporting attorneys and staff in the new matter setup process. The position requires a high level of attention to detail and involves extensive interaction with attorneys and staff to ensure smooth operations.
Key Responsibilities:
- Generate conflict reports using the firm’s conflict database, review and interpret reports as part of the conflict analysis and reporting process, ensuring compliance with professional conduct rules.
- Request and record necessary conflict resolution documentation, such as conflict waivers and engagement letters.
- Provide support to the firm’s partners and offices throughout the New Business Intake (NBI) process.
- Review new client and matter information, ensuring all details are accurate and complete.
- Ensure that the terms of engagement are consistently applied to all client matters and track any exceptions.
- Generate new client matter numbers and assist with the maintenance of client and matter data.
- Communicate effectively with supervisors, coworkers, attorneys, and clients, ensuring timely responses.
- Contribute to process, procedure, and technology improvements for optimal service and efficiency.
- Escalate issues in a timely manner when necessary.
- Scan and retain records of new case information and supporting documentation.
- Assist with other billing department support as required.
Job Requirements:
- Previous law firm experience in a business intake or conflicts role is highly desirable.
- Familiarity with 3E or Elite Enterprise accounting systems preferred.
- Motivated and flexible, with the ability to work extra hours as needed.
- Strong attention to detail and accuracy.
- Excellent written and oral communication skills.
- Strong organizational skills and the ability to prioritize tasks and work under time constraints.
- Ability to handle a high volume of new client matters from intake through assignment notification.
- Proficiency in Microsoft Word, Outlook, and Excel.
- Minimum requirement: High school diploma.
Work Hours:
Monday through Friday, 9:00 am – 5:00 pm, with a one-hour lunch break. Overtime is required when business needs arise.
