Duties & Responsibilities
- The Wraparound Administrative Coordinator performs a variety of support activities to include administrative and clerical functions associated with managing the routine day-to-day activities for assigned program/department.
- Relieve program/department leadership of various administrative details; coordinate and maintain effective office procedures and efficient workflow; maintain familiarity with Eckerd policies and quality standards, and of agency contract standards, coordinating and communicating changes to program/department staff.
- Maintain program/department entry into data systems through accurate and timely input of referrals, client and/or staff demographics, billing, attendance, event, and testing data. Systems may include, but not limited to TIER, FSFN, JJIS, RSMS, and SVS systems.
- Submit and retrieve confidential client-related files to and from the funder (Magellan) through a secure file transfer protocol network (such as FTP).
- Check client Medicaid status on a monthly basis and notate Bayou Health Plan. Share findings with necessary members of leadership.
- Locate and compile information and complete reports as required by contracting agencies; compile, sort, and verify accuracy of data; keep records of work completed; maintain follow-up system on reports requiring action on periodic basis.
- Maintain accurate and complete records according to Eckerd standards and contractual obligations; client and staff record maintenance to include, but not limited to, filing, retrieval, retention, storage, updating, and destroying files as directed by policies and procedures; maintain confidentiality of client and staff records.
- Conduct new hire orientation, ensuring the new hire completes employment-related documents and benefits enrollment; also prepare or ensure preparation and submission of personnel transaction forms, evaluations, and similar documents, and obtain background screening information on new hires and candidates. Ensure new hire information is input into multiple systems and setup in the office.
- Maintain an up-to-date spreadsheet of employee laptop and phone inventory and ensure that any new laptops and phones are set up correctly through the IT department.
- Maintain and order office supplies; schedule maintenance/repair for office equipment. Collaborate with vendors to ensure timely delivery of monthly reoccurring office services such as but not limited to shred bin pickup and water delivery services.
- Track program/department expenditures, ensuring purchasing orders or invoices and receipts are processed in timely manner; Report income and accruals as required; as assigned, prepare invoices for program/department leadership travel; maintain petty cash receipts; ensure p-card transactions are completed in accurate and timely fashion.
- Receive and assist visitors; refer parties to staff member as circumstances warrant; answer and route program/department phone calls to appropriate staff.
- Sort and distribute incoming and outgoing mail.
- Assist program/department leadership with fundraising activities.
- Serve as member of program/department leadership, quality, treatment, and advisory teams; attend meetings and prepare meeting minutes.
- Assist program/department leadership in determining best prices on purchases to ensure successful operation
Qualifications
- High school diploma or equivalent required.
- 2 years general office experience required. Thorough knowledge of modern office practices and procedures.
- Working knowledge of word processing, spreadsheet, presentation, and email software (Microsoft Office and Outlook strongly preferred); ability to type proficiently; ability to set up and maintain filing systems
- Must have appropriate and valid state driver’s license; must meet state criminal background check requirements.
- Required to pass a drug screen in compliance with our Substance Abuse and Drug-Free Workplace policy.

Eckerd Connects' Wraparound Agencies are part of the Coordinated System of Care (CSoC) under the state's behavioral health managed care program that serves children and adults in Louisiana with behavioral health, mental health, and addictive disorders. Coordinated Systems of Care are national evidence-based models for coordinating services in a family-driven manner to ensure more positive outcomes for children, youth, and families. The model incorporates a broad array of flexible effective services and supports that is organized into a coordinated network and that integrates care planning and management across multiple levels and systems. Through this coordinated network, meaningful partnerships are built with families and youth at service delivery, management, and policy levels.
