ENROLLMENT SPECIALIST

Job Summary:  The Enrollment Specialist is responsible for the daily operations of enrollment procedures for Ecology Project International. The Enrollment Specialist’s time is spent supporting EPI's student and teacher participant registration, collecting paperwork and payment, assisting in securing travel arrangements, and providing customer service to participants through the enrollment process. The Enrollment Specialist will work closely with other admissions staff to ensure that completed paperwork and payments are collected in a timely manner and collaborate with finance and program staff as needed with enrollment-related tasks. Accountability:  The Enrollment Specialist reports to the Medical and Enrollment Supervisor.

Primary Responsibilities:

Participant Enrollment Process

• Maintain detailed and accurate participant information in database
• Prioritize daily tasks according to paperwork and payment timelines for multiple courses
• Communicate with all participants and families about paperwork and payment process
• Collect payments and completed, accurate paperwork in a timely manner
  • Electronically file student paperwork and documents
  • Support Financial Aid processes
  • Prepare refund request and ensure payments are recorded accurately
• Provide excellent customer service to participants and their families
  • Help to communicate program information to parents, participants, chaperones, and teachers or direct information requests to the best source
  • Work to ensure participants are prepared for EPI courses

• Maintain positive attitude while reinforcing paperwork and payment course deadlines

• Manage and update enrollment-related reports and email series for participants
• Help develop and maintain enrollment systems

• Support the medical review process as needed

Office Operations

• Answer telephone calls in a courteous and professional manner
• Assist with mailings and other administrative tasks as requested
• Provide administrative support to the Medical and Enrollment Supervisor and other admissions staff
• Manage inventory and ordering for staff and participant t-shirts on an annual basis
• Serve as a Duty Officer on the EPI Emergency Response Service (ERS) cell phone

Program Support

• Work with program staff to update required participation and release forms for EPI vendors
• Work with Admissions team to update student handbooks and packing lists on an annual basis

Qualifications:

Required:

• The ability to do the tasks listed above
• Minimum one year customer service experience
• Strong oral and written communication skills
• Attention to detail
• Problem solving skills
• Excellent time management – position will balance multiple deadlines and competing priorities

Preferred:

• Bilingual Spanish/English
• Experience in Salesforce or a similar CRM system
• Experience with Google Apps

Schedule and Location:  The Enrollment Specialist is a full-time (40 hours/week), year-round position based in the EPI Missoula, Montana office during core office hours (between 9am- 5pm), with occasional nights and weekends for event hosting. The Enrollment Specialist will also be on-call occasionally outside the normal working hours as a duty officer staffing the 24-hour emergency response cell phone.

Compensation: Starting salary will be $35,945-$37,223/year. Salary is non-negotiable and calculated based on prior experience and EPI’s local market-based range for the job position. In addition, this position is eligible for an outstanding benefits package that includes paid time off, sick leave, holidays, health insurance, retirement, professional development, and other benefits as detailed in EPI’s Employee Handbook.
