We are seeking a proactive, detail-oriented, and self-motivated Administrative Coordinator with expertise in Accounts Payable (AP) and Vendor Management. The ideal candidate should possess strong Excel skills, the ability to abstract data from various document types, and have experience in environments that require heavy data entry. The role requires an independent self-starter who can think outside the box, manage multiple tasks, and thrive in a fast-paced and ever-changing work environment. Candidates with a background in hotel, apartment, or travel agent roles, as well as seasonal housing experience, are encouraged to apply.
Responsibilities:
- Process and manage accounts payable transactions, ensuring accuracy and compliance with company policies. This includes reviewing invoices, verifying payment details, and ensuring timely processing of payments to vendors.
- Coordinate with vendors to ensure accurate and efficient communication regarding billing, payments, and any discrepancies. Maintain positive relationships with vendors and track performance to ensure quality service delivery.
- Extract, organize, and analyze data from multiple document types (e.g., invoices, contracts, service agreements) for reporting and decision-making purposes. Leverage Excel to track, analyze, and report key data points, trends, and financial information.
- Handle various forms of documentation, ensuring that data is accurately entered into systems, categorized, and stored for easy retrieval. Ensure consistency and organization of both physical and electronic files.
- Effectively use internal software platforms for document management, data entry, vendor tracking, and reporting. Comfortable with heavy Excel usage, including advanced formulas, pivot tables, and data analysis functions.
- Maintain clear and professional communication with vendors, internal teams, and other stakeholders. Provide updates on payment statuses, vendor issues, or discrepancies, and assist with problem resolution when necessary.
Qualifications:
- 2 years of experience in Accounts Payable, Vendor Management, or a similar administrative role.
- Strong data entry experience with the ability to abstract and organize data from various document sources.
- Advanced proficiency in Excel, including the ability to work with large datasets, complex formulas, pivot tables, and data visualization tools.
- Detail-oriented, ensuring accuracy in all aspects of data entry, reporting, and vendor communications.
- Strong problem-solving skills, with the ability to think creatively and critically.
